You can access many of these filter settings via the Advanced settings option in the above menu or the advanced filter settings in the Advanced settings link below the Filters Section.

Filter fields

To add filters in the advanced settings window, drag them into the box at the bottom of the screen.

  • The filters will appear at the bottom of the list above it.

To:

  • Move filters up or down
  • Apply an Aggregation (e.g. count distinct)
  • Delete a filter

...select the arrow next to it and choose from the available options.

Operands

Operands are the arguments for each field: i.e. equal to, different from, in list, between (for dates), is null. The advanced settings section gives you access to additional operands.

Change whether the filter is left as user prompt or a defined value - click the Define Value link and choose from the pop up window.

  • If your field is a date or time field, you can choose from a Defined Value (set date or date range) or a Pre‑defined Period (e.g. the last x months).

  • If you choose Dynamic Date, you can either choose a hard-coded date (turn the Dynamic Date slider off) or a date related

    Basic Operands

    The basic operand list (available on the data screen) includes the following:

    Advanced Operands

    The Advanced Filtering options include a number of different options, depending on the type of field.

    Key operands

    • Contains: A popular operand, e.g. Job Name contains Administration Officer
    • Start With: e.g. Job Reference starts with EXT
    • Equal to/Different from... Column: how the value compares to another column in that view. E.g. Incomplete applications less than Submitted Applications,
    • Link to Filter: Make this filter like (or different from) another filter. If you use this option, you'll need to:
      1. Define the linkImage Added
      2. Specify it uses the same operator as the filter you are linking to, or another operand:

      3. Specify the filter you are linking to under Link to Filter. Filters will appear in their specified order.



    Define Values - Date Fields

    All filters can be set as User Prompt or Defined Value on the Advanced Settings screen by clicking Define Value next to the filter field.

    Date fields will give you additional options when you click on this. You can choose between a Defined Value or a Pre-defined Period.

    Defined Value

    You can choose between:

    • Dynamic Date (a date relative to the date the report is run

  • Add additional filters.
  • Access more advanced filter options, such as linking a filter to another filter or column, changing AND/OR arguments, and indenting filters.

    Pre-defined Period

    You can also choose from a pre-defined period. The options available will depend on the operand chosen e.g. Greater than, Between.

    And/Or Arguments and Indentation

    Some filter setups will be more complex than wanting results where ALL filtered values are true. You might want to return results where (a and b) OR (c and d) are true, say jobs that opened last year that contained 'Admin Officer' in the name OR jobs that were archived last month and where an offer was made.

    To do this, you can create and/or arguments and indent (or group) the different clauses in your filter argument.

    And/Or

    To change an And to an Or, select the And option and change to Or.

    Now that you have an Or relationship, you will probably need to indent the filters that need to be considered together. If you don't, you're likely to get confusing results.

    Indentation

    Click the arrow between the fields that need to be indented (or grouped) either side of the OR argument.

    Note
    If you indent fields and the groupings are not clear, refer to the filter logic to see what fields are indented/group with what and at what level. Adjust using the left or right arrows until the required groupings are realised.
