This includes a new registration path and additional security measures around resetting passwords and entering incorrect credentials. |

Description: To ensure that we continue to provide our clients with secure features protecting personal identifiable information the candidate registration and login experience has been enhanced. The enhancement prevents any information from displaying in the candidate portal that would identify the candidate, based on their email address, as a registered user.
Specific changes have been detailed below.
Candidate Portal Changes

New link to register on the login page | A new option to register as a new user will be introduced on the login page. |
Updated message when incorrect login details are provided | When a candidate attempts to login with the incorrect username and/or password, they will be presented with the below message: |
Advice on the number of unsuccessful login attempts remaining | When attempting to login to the candidate portal with incorrect credentials, the candidate will no longer be presented with information advising how many attempts they have remaining before their account will be locked. |
Removal of identification that the user does not have a valid account when attempting to reset their password | If the candidate has not previously registered but attempts to use the reset password option, they will no longer receive notification that their email address is not registered to a user account. They will be presented with the same message that a valid candidate would receive. |
Confirmation screen message when using the forgotten password functionality | When the candidate enters their email address to reset their password in the forgotten password screen, they will be presented with a confirmation message advising them to check their email inbox for next steps. |
Notification received by locked candidate users when attempting to reset their password | If the candidate attempts to reset their password while their account is locked, they will receive an email containing the below information: |

Candidate Portal Configuration Changes

Removal of the ability to configure multiple custom candidate registration emails | To ensure that candidates are consistently provided with the correct information when registering, we have removed the ability to create multiple unique registration emails per candidate portal audience. |
Ensure correct branding is applied to candidate portal emails | To support the need to ensure candidates are presented with correct email branding when registering and interacting with the candidate portal, we have introduced the ability to link a configured email display brand to an audience. This will ensure that the candidate is consistently presented with the correct branding associated to the audience they are registering against within the candidate portal.

Candidate Portal Lockout communication | Candidates will no longer be presented with a message on the candidate portal when they have locked their candidate portal account. An email will be automatically triggered to the candidate to advise them that their account is currently locked, and they will be advised when it has been unlocked with a further email communication. |
Candidate Portal Locked/Unlocked Emails | Emails that trigger to a candidate when they lock their account and when their account is unlocked will no longer be configurable. These emails will contain standard content to ensure the candidate receives the appropriate information to continue their candidate portal exchanges. |

Description: The introduction of requisition and job notes provides users the ability to add notes on requisition records or on job records to capture relevant information. Note functionality has previously been limited to candidate records and there was no ability to add comments at a requisition or job level.
The ability to create notes is not permission dependent, so any user with the ability to view the requisition or job record will have the ability to create notes. The ability to edit or delete notes is permission dependent and two new function permissions have been introduced to the module permission of Job Manager to control which user groups/users can edit/delete notes.
How to use the new option – Requisition Notes

1 | Navigate to the requisition the note needs to be added against and open the View Requisition Details page |
2 | Select the new feature Add Requisition Note on the top right of the page |
3 | Select the option Create Note |
4 | Add note information into the screen and upload any applicable documents |
5 | The note will save and will be available within the Add Requisition Note screen. |
6 | If the user has been given the permission to edit the note, then any edits will be available within the view screen of the note. |
7 | If the user has been given the permission to delete notes, then they will have the action to delete the note or note edits. |
8 | Any notes added to a requisition will flow through and be available against the job in the job card. This will ensure that a full picture of the job history is available in one central location within Job Notes. |
How to use the new option – Job Notes

1 | Navigate to the job the note needs to be added against and open the Job Card |
2 | Select the option Add Job Note from the Job Details drop-down menu and the Add Job Notes page will open |
3 | Add the details of the note, including any file uploads. |
4 | The note will save and be available within the Job Notes page |
5 | If the user has been given the permission to edit the note, then any edits will be available within the view screen of the note. |
6 | If the user has been given the permission to delete notes, then they will have the action to delete the note or note edits. |

Description: A new tool has been introduced that will allow super users the ability to bulk delete global questions from forms. This functionality is available on forms within the form template library, forms available against individual records such as requisitions and even assessment process templates.
How this helps: This new tool will assist super users who are responsible for maintenance of forms and form templates. Instead of deleting global questions one at a time, users will now be able to delete up to 30 global questions at once.
How to use the new option
Step Number | Description |
1 | Navigate to the form that requires maintenance. |
2 | Use the tick boxes available to the left of the global questions to select the questions to be deleted |
3 | When the questions have been selected, click on Bulk Delete Questions |
4 | The Delete Question Confirmation screen will be presented and display the number of global questions that has been selected for deletion. |
5 | If Delete has been selected, then the deletion request will process, and the user will be directed back to the form with a confirmation messaged displayed. |
6 | Note that the system will prevent the user from deleting system questions on a form. |
7 | The confirmation message displayed when the deletion request has processed will also advise how many questions were deleted and how many were unable to be deleted. |
8 | Note that there is a maximum number of 30 questions that can be deleted in any one action using the Bulk Delete Questions tool. |

Description: Additional functionality has been introduced to enhance the candidate registration process. The enhancement centers around the introduction of a candidate portal profile that sits independently to candidate applications. Users can now configure the registration form to allow for additional form steps and collection of additional candidate information. Information collected during this process can be used to pre-fill future candidate applications
How this helps: The new profile allows for a more user-friendly registration process including additional form steps to collect information. When the candidate completes their registration process, they can log into the candidate portal at a future date to manage their own data.
How to use the new option – Registration Form Configuration
Step Number | Description |
1 | Navigate to the Frontend Candidate Registration and My Details Form within the System Forms menu. |
2 | Click on the new option Add New Form Step and name the form step. The name of the form step will be visible to the candidate within the candidate portal. |
3 | The tick box Display Step in My Details Only will determine if this information is available to the candidates when they complete their registration process. |
4 | The form will be displayed with the additional form step. Global questions can now be added to the form step from the global question library. |
5 | Search and locate the global question/s to be added and select Add |
6 | Continue steps 2-5 to add all required form steps and global questions. |
How to use the new option – Candidate Experience: Capturing Additional Information on Registration
Description: If configured, candidates will now be presented with additional form steps when completing their registration. This information will be captured and available for future management within the candidate portal profile.

How to use the new option – Candidate Experience: Managing the Candidate Portal Profile
Description: The candidate portal profile has been enhanced to provide candidates the ability to manage their personal information. Information captured during the registration process will be available within the candidate portal and any additional form steps that have been configured to display in the My Details profile will be available.

GSD-2570: An issue has been identified where report field headers on approval steps in an assessment process were not displaying the data from the corresponding analytics report correctly. They were instead displaying the message "Report Unavailable." This issue has been resolved with a code fix and information is now displaying as expected.
GSD-3555: An issue was identified that was preventing a candidate's status from been updated from on hold to successful or unsuccessful when utilising the make assessment decision action. This has been resolved and candidate status will now update correctly.
GSD-5750: When a PDF snapshot was generated for a referee report, the snapshot was not matching the actual referee report. This issue has been resolved with a code fix.
GSD-6472: An issue was found where certain graphics where not appearing in line on the candidate portal. A code fix has been applied to correct the alignment.
GSD-6488: When utilising selection criteria during job creation, if any of the individual selection criteria options were not selected, they were incorrectly appearing on the job. This has since been resolved and selection criteria is represented as per selected options during job creation.
GSD-6396: Posting a SEEK ad from a newly configured SEEK account would result in an error causing the ad posting to fail. This has been resolved through a code fix.
AU-251: An issue was identified where candidates were not able to apply to jobs for clients hosting their candidate portal in an iframe. This issue has been resolved with a code fix and now jobs can be applied to as expected.
AU-297: When executing a PDF candidate package the package contained formatting errors. This has been resolved through a code fix.
AU-248: When generating PDF files from approval forms, the generated PDF contained formatting errors. A code fix was applied to resolve the issue.

AU-267: An issue was identified that resulted in an exception error displaying when users attempted to manually reassign a position user record to a new manager. This issue has been resolved with a code fix and the manual reassignment is now working as expected.
AU-250: When a position user position title was changed an issue was preventing the update displaying correctly across the performance screens. This issue has been resolved and the reassignment process is now functioning as expected.
AU-249: An intermittent issue was preventing emails from sending as scheduled. The issue is now resolved, and emails are sending correctly.
