Summary

Below provides a summary of the items included in Release 8. In the following pages you will find further details of each Release Highlights item.


Release Highlights:

 Interactive Assessment Process Workflow: Following the release of the Interactive Requisition Workflow in October this feature is now expanded to the Assessment Process workflow also. It is aimed at making the workflow panel more informative for users by providing information on who has completed steps and when, who is assigned to subsequent workflow steps and allowing emails to be sent to users directly from the workflow


Additional Enhancements/Fixes:

 Previewing Forms: For Super Users/Administrators who configure or maintain forms within the system, you will now be able to preview the form as it will appear when used in a live Requisition or Job. This will allow you to see exactly how a form will appear to users or candidates without the need to create test requisitions or jobs.

 Mobile Device – Main Menu: When accessing the backend of eRecruit, the Main Menu will now remain expanded until the user selects a menu option.

 User Function Permissions: When creating or editing Users or User Groups, the Modules with the Function Permissions screen will now be ordered alphabetically making it easier to locate the required permissions.

 Scheduler Activities: Activities that have Activity Blocks assigned will now display in the default Activity List regardless of whether the Activity Block is active or inactive.  Scheduler terminology: Further work has been performed to ensure that the terminology used within the Scheduler module is consistent throughout.


Interactive Assessment Process Workflow

This feature forms the second part of our Interactive Workflow project and focuses on the Assessment Process. The Interactive Workflow feature allows users to access information on who has completed previous Assessment steps and when, along with who is assigned to subsequent steps in the process. Users can access already completed forms and also communicate with others in the process via email. A key benefit of this feature is the provision of easy communication between the team involved in an Assessment process. It allows shortlisters to flag issues or topics to be explored during interview. It allows approvers to clarify appointment details for successful candidates. All without leaving the system. The feature can be switched on and off for each step in the Assessment process meaning System Administrators have control over where the information is displayed.


How does it work and what does it look like?

Steps in the process where the Interactive Workflow has been enabled will display an information icon. Users can click on the icon to present further information relating to the step. For completed steps, clicking the information icon will display who the step was completed by and when.


A document icon will provide access into the completed form. By clicking the icon a modal window will display the form in read only format.


Clicking on the users name allows an email to be generated and sent to that user. The email will automatically input the Job Reference Number and Job Title into the subject line. Emails sent from the Interactive Worflow will utilise your default email system. Emails sent, along with any replies will not be logged in the eRecruit system.


Important Note: When completing an Approval step within an Assessment Process, no information icons will appear for any step. Information icons are candidate specific and therefore can not be shown at this type of step.


For subsequent steps in the process, the system will display the information that is available at that point in time. For steps where a user has yet to be assigned, the step will display 'Step Currently Unassigned' and where the step has been assigned to 'All Users with Permission to this Job' then 'All Users' will be displayed.


In cases where the step has been assigned to a specific role but a user has yet to be assigned to that role then the role name will be displayed and a list of users with permission to that role can be viewed via an expand control. Similarly, where the step has been assigned to a user group then the user group name(s) will display and a list of users within the group can be accessed via an expand control. When expanding a list of users, the list is limited to 10 users, displaying the first 10 users based on first name. Where more than 10 users exist this will be indicated with ‘x more’. Clicking on the users name once again allows an email to be generated and sent to that user.


Where a step is configured to have multiple assessors per candidate the information icon will display all assigned assessors and a link to each form completed as part of that step.


Switching on the Interactive Workflow for Assessment steps

System Administrators will be able to enable the Interactive Workflow for each step within an Assessment process. This can be managed at Assessment Process Template or Assessment instance level. When managing an Assessment step, a new option will now be available “Access step details from workflow”. If selected, the Interactive Workflow information icon will display for that particular step.


The “Access step details from workflow” option will only be available on Assessment steps. Approval and Automatic Screening steps will not show this option.

When deployed, the “Access step details from workflow” option will be unselected for all steps in configured Assessment Process Templates and current Assessment Processes. If adding a new step to a template or current Assessment Process, the “Access step details from workflow” option will be selected by default.
