The Requisition process works by moving the request through the approval process until the process has been completed.  In order to move the requisition between approval/review steps, there needs to be a decision question located in each requisition form to move the requisition to the next step and send a task notification email to the next assigned user.

This question is commonly a multiple-choice question along the lines of ‘Do you approve this Requisition?’

Here is how you build the decision question:

  1. Click the System icon at the top right hand side of the page.

  2. Click the Global Questions link under System to go to the Global Question Pool.

  3. This will take you to the Global Question List.

  4. To create a new Global Question, click on the +Create New Global Question link in the top left hand corner of the page.

  5. Select Multiple Choice from the Question Type dropdown list and select Requisition from the Question Use dropdown list.

  6. Fill out the Question Reference and the Question Text as per normal.

Note: for more information on building Global Questions, refer to the Global Question User Guide.

  7. Click the Question Options tab to set options around mandatory settings, display options etc.

  8. Once you have completed this page, click the Save button at the bottom of the screen

  9. This will display the AnswerOptions tab. Click this and then click the + Add New Answers link in the top left-hand corner:

  10. Add your new answer options here. Typically, the decision question will have the  following answers:

    • Approved
    • Not Approved
    • Approved with Changes

    Once this is set up;

    • An Approved requisition will move the requisition to the next assigned user.
    • A Not Approved requisition will close down the requisition process.
    • An Approved with Changes response will progress the request, but will require the approver to enter comments around the changes made/required.

  11. Once you have added your answers in, click the Save button at the bottom of the page.

  12. This will take you back to a list of the answers

  13. Now this has been completed, you need to add this question to the requisition form template used for approval.

Note:  Whilst a decision question is needed on all requisition forms, the decision question for the first requisition step will not need a Not Approved or Approved with Changes option, just a single option to act as a checkpoint.
