Recruitment Enhancements

Description: Seek have recently upgraded the job posting functionality available when posting directly from an Applicant Tracking System. Features and functions that were previously only available directly in the Seek employer portal are now available within Acendre Recruitment.
As part of this change Seek have also introduced improved functionality with a focus on usability and user experience. These changes include:
Dynamic location suggestions
Suggested category and sub category suggestions based on job title and location
Ability to post Classic, Standout and Premium adverts
Branding/logo preview for Standout and Premium adverts
Realtime access to new Seek variable pricing from Acendre Recruitment
Billing reference number sent directly from Acendre Recruitment

How this helps: There is no longer a need to post an advert to Seek via Acendre Recruitment and then log into the Seek employer portal to gain access to the full suite of Seek functions. Acendre Recruitment now integrates with Seek in such a way to utilise new user focused tools to ensure that your advert is available to the right target audience
Accessing the Seek Job Ad form
Below are the steps to follow prior to posting to Seek and how to access the new Seek Job Ad form. Note that if you do not currently have access to post directly from Acendre Recruitment to Seek you will need to reach out to your Client Success Manager for the appropriate set up to occur in Acendre Recruitment.

1 | Before a job advert can be posted to Seek it needs to be posted to your Candidate Portal via the Candidate Portal Configuration option. This can be completed via the Job Creation Wizard on job creation, or after creation via the Sourcing tab on the Job Card. More information on completing the Candidate Portal Configuration is available on our Knowledge Base here. |
2 | When the Candidate Portal Configuration has been completed, access the Job Ads option from the Sourcing drop down menu. |
3 | When directed to the Manage Job Ads screen, Select the applicable Seek account from the available selections and select Go. |
4 | This will open the new Seek Job Ad Form which is where all information required for the Seek job ad is captured. |

Completing the new Seek Job Ad Form
The new Seek Job Ad form is where all the information required to post an advert to Seek is captured. The form is a combination of pre-filled data already gathered during job creation and Seek specific information that needs to be entered.
The below explains all the available fields on the new Seek job ad form.

Question | Description |
Audience | This dropdown menu will display any previously configured candidate portal audiences. Select the audience that you wish the applications to be directed to when they are taken to the candidate portal from Seek to complete an application. |
Job board account | The selected Seek account in the previous step. |
Job title | This will pre-fill from your job, but can be changed. Any changes completed in the Seek form are only applicable to Seek and do not update the job on the candidate portal. This is one of the fields used when determining the cost of the advertisement. |
Job location | Dynamic field that will suggest granular locations as soon as the user starts to type. This is one of the fields used when determining the cost of the advertisement. |
Category | These are suggested categories and sub-categories based on the information provided in the Job title and location field. One of the suggestions can be selected or the user can opt to select their own categories and sub-categories by selecting Choose a different category. |
Parent category | This field will only display if the user selects Choose a different category. It provides a list of all the available parent categories to classify the job. |
Sub-category | This field will display after the Parent category is selected. It provides a list of sub-categories based on the Parent category selected. |
Work type | Choose the type of work from the available options: Contract/Temp Part Time Full Time Casual/Vacation |
Pay type | Choose the payment type from the available options: Annual package Annual Commission Commission Only Hourly rate |
Minimum pay range | Input the minimum pay range for the job opening. Note that this does not display on the advertisement on Seek. It is used to drive the search options. |
Maximum pay range | Input the maximum pay range for the job opening. The maximum page range cannot be lower than the minimum pay range. The maximum pay range can be left blank if there is no upper limit. Note that this does not display on the advertisement on Seek. It is used to drive the search options. |
Pay information | This optional field allows the user to input information regarding the pay that will be available in Seek. |
Job summary | Information entered in this field will display in the Seek search results screen when a search is conducted. |
Ad details | This information pre-fills from the job description but can be changed. There are limited formatting options available, including bold, italics and ordered/unordered lists. Any other formatting will be stripped by Seek. Note that merge fields used in the job description field on the job details form will not merge through into the Seek job ad form. These fields will need to be manually populated. |
Video | This option will display if you have video configuration available on your Seek account. It allows the user to embed a YouTube video on the advertisement. If you would like to use this service, then you will first need to speak to your Seek account manager and then advise your Acendre Client Success Manager that you would like this enabled in Acendre Recruitment. |
Video position | This field displays as information is entered in the Video field. Choose the location of the embedded video from the options: Above Ad Details Below Ad Details |
Ad type | This table displays the pricing for the various Seek advertisement types and allows the user to select from Classic, StandOut or Premium. The pricing displayed is based on your Seek account, job title, location and selected category/sub-category. |
Branding | This will display all the available branding templates that are configured against your Seek account if StandOut or Premium ad types are selected. This is a dynamic list and connects directly to Seek to ensure that your most recent brands are available. There is no need to maintain this information in Acendre Recruitment. |
Key selling points 1-3 | These pre-fill from the job highlights on your job but can be changed. The fields only display if StandOut or Premium ad types are selected. Note that merge fields used in the job highlights fields on the job details form will not merge through into the Seek job ad form. These fields will need to be manually populated. |
Internal billing reference | This will pre-fill with the job reference number but can be changed. If you post multiple Seek job adverts from the one job then the system will automatically append a letter to the end of the job reference number. Note that this cannot be changed after the job is sent to Seek. |
Cancel | Select this option if you do not wish to proceed with the advertisement and do not wish to save the data. |
Save as draft | Select this option if you would like to save the information, but not send it to Seek. This option does not trigger field validation and can be used if you would like to save your progress to post at a later date. |
Send to Seek | If you have completed the form in its entirety, the job audience is currently open and you would like the job to appear on Seek, select Send to Seek. This will send the advertisement to Seek and make it available on the Seek webpage within approx. 10-15 minutes. |

Manage Job Ads Screen
When the job has either been saved as a draft or sent to Seek, information will be available in the Manage Job Ads screen.

Fields available
Field | Description |
Reference | This is the internal billing reference from the Seek job ad form. |
Status | The status of the advertisement: Draft – not yet posted to Seek Awaiting next upload – waiting to be sent to Seek Sent to Job Board – advertisement is available on Seek Expired – this will detail that the job has expired and the method of expiry |
Account | The Seek account the job advert was created against. |
Job Name | The job title used in the Seek job ad form. |
Job Board | Will display Seek. |
Expiry Date | This will show the expiry date for the advertisement based on the audience it was opened against. If the close date on the job audience is greater than 30 days or set to never close, then the Expiry Date will show as 30 days from the posting date. Seek have a maximum period of 30 days for their advertisements. |
Actions | This column proves a list of available actions to work with the job ad: Edit – edit the Seek job ad from content View Job Ad – available when the job is posted and open on Seek. It will take the user to the job ad on Seek webpage Duplicate – will copy the information on the Seek job ad form to create a new job ad. Note that you can not duplicate an old style advert. It will need to be recreated using the new form Expire – available when the job is posted and open on Seek. It gives the user the ability to manually expire the job ad before the scheduled expiry date Delete – this option is available only when the Seek job ad is saved as draft and hasn’t been sent to Seek |

Switching from old Seek job ad form to new Seek job ad form
After the deployment you will not be able to duplicate any Seek job ads that were created using the old Seek job ad form. They can be edited and expired, but any new job ads created will use the new Seek job ad form.

Description: When configuring job list descriptions information was entered into a paragraph box with no ability to access formatting without using html code. We have updated the field to now be a WYSIWYG field that allows easy access to built in formatting options.

How this helps: This helps to format job list descriptions that can be configured to display on the candidate portal to assist candidates in navigating to the correct job list for their job interests.

Description: Question sets is an existing feature that allows global questions to be grouped together and configured with dynamic relationships at the system level. They can then be added to forms in a single action rather than question by question.
The screen in which the question sets is configured has been updated to include more relevant columns to help identify the correct questions.

Question Text – this was previously entitled Question, but has been updated to be more clear
Question Type – a new column that will display the type of global question

How this helps: This helps the user quickly and easily identify the global questions that are configured as part of the question set.

Description: Group questions are a user-friendly configuration that allows multiple questions to be linked together and displayed in a grid like fashion. More information on group questions is available on the Knowledge Base here. Up until now there have been some challenges ensuring that this grid like view is compliant to WCAG 2.0 accessibility standards.

Description: Specify if cached filter values are limited by other filters. These new options allow you to determine whether other report filters are applied when caching filter values, and for limiting the complexity of the queries used to load cached filter values. Fixes
ADR-521: An issue was found where the candidate search filters were not returning results based on the latest answers from candidates only. This has been resolved through a code fix.
ADR-51: When creating a job, the ‘PDF Package & Email’ rule action was not being copied correctly. A code fix has been applied to resolve the issue
ADR-521: It was found that Requisition emails with a ‘Form answer’ recipient were not pulling data from the system correctly. This has been addressed with a code fix.
ADR-47: The time zones in the system were found to be causing confusion with the existing labels. This has been updated for clarification.
ADR-44: A certain method of logging into the candidate portal was resulting in system errors preventing logins. A code fix has been applied to rectify the issue.
ADR-34: When using the apply to another job functionality the option Candidate Card will now direct the user to the application for the job the candidate was just applied to.
ADR-19: The created by column for merge documents under Recruiter Files on a job has been updated to display the name of the user who created the document, not the user that created the merge template.
