Info

Custom Templates are available to users with either the Corporate Report Writer or Report Writer role permissions.

Tip

See a template you’d like to use? Simply:

  1. Copy the template to create your own version

  2. Update as required.

That’s it! You can add your global questions, remove any charts you don’t need… do whatever you need to do so that it meets your needs.


Templates Dashboard

Tip

Add the Templates dashboard to make is easy to access your essential metrics, EXEC templates and simple templates. You can either:

  • Click on the top left menu > My Dashboards > + > open the Templates dashboard in your default Reports folder > Templates

  • Click on Browse > Dashboards > your default Reports folder > Templates and open the Templates dashboard.

Click 'Add' to add it permanently to your dashboard tabs.

You will also find each individual report template in the same folder.


Your Essential Metrics

Get more out of your reports by defining your essential metrics up front.

Your metrics will all be dependent on your processes, your configuration and your requirements.

  • Your time to fill (or hire).

  • Your gender and diversity application counts.

  • The number of candidates shortlisted, interviewed, placed on a merit list or in a merit pool, candidates, or offers made.

  • Other measures, key fields or calculations.

Placeholder fields are included in your custom view 1.0 to get you started, using actual data where possible (eg time to fill). In some cases, other metrics (like gender and diversity) may have been identified and added to your Metrics folder.

EXEC Templates

The EXEC Templates demonstrate your essential (or example) metrics and provide a template for how they can be used and visualised in chart format.

EXEC: Time to Fill

Shows the Average Time to Fill by calendar quarter.

  • Uses the time to fill start, end and days between fields in your view. If these definitions are updated, this report will update with it.

  • Report also gives a breakdown of each main workflow:

    • request submitted date, request completed date, and days to complete

    • job creation started, job creation completed, and days to complete

    • job open date, job close date and days open

    • days from job close (or job open if no close date) to time to fill end

    • job archive date.

Your “time to” definitions will most likely be determined by your process and might be captured in any number of ways. If you are unsure, use the View Demo report to explore the data that is available.

Various date stamps can be accessed via the Additional Data column for each job listed. Drill to:

- Job Details for when requisitions are submitted/approved/completed, job creation is started/completed, and specific job audiences open/close

- Job Status History for when each job status is applied

- Process Steps for when each process step is started and last edited

- Applications and Application Details for when applications are started/submitted/last assessed

- Application Status History for when each application status is applied per candidate

- Assessment Steps for when each application starts and ends (last edited) at each assessment step.

There may also be date fields in your Custom GQ folders that capture specific events like verbal offer date, approval date or commencement date.

Your “time to“ definitions and any stages within it could be determined by any of these fields - it depends on your processes and how these dates reflect any significant points that you need to measure from/to.

Template

You can simply copy the template to create your own version. To update the template. you’ll need to give yourself edit or delete permission to the Templates sub-folder first (under Administration > Admin Console).

- if you have defined your placeholder fields using the methods above, and this has been updated in your view by Acendre, then this report will automatically reflect those new definitions.

- if you have your own dates not defined by the placeholders, add them to the report, use an advanced function on the later date to find the days between, and update the vertical column chart (chart #3) to use your new days field. If you need help doing this, contact support or talk to your CSM about analytics training.

EXEC: Essential Application Counts

Various application counts using placeholder, example and/or defined fields.

  • Apps by assessment stage, shown as a sum of submitted applications.

  • Gender breakdown, shown as a percentage of submitted applications.

  • Diversity breakdown, shown as a percentage of submitted applications.

  • External/current employees, shown as a percentage of submitted applications.

Gender, diversity and current employee fields may have been identified in your data and metrics created to reflect these. You will also need to determine what assessment stage measures you require and how these are defined in your processes. Check the Your Essential Metrics report to review how these are currently calculated in your view.

Note

The current employees/internal candidate field, if predefined, is likely to be based on an Are you a current employee = Yes or Who are you employed by = your organisation questions and answers, with the external/other count coming from all other submitted applications.

In all likelihood, you may ask different employment questions in different processes and not ask who a candidate works for on an internal application form.

Consider the different types of applications forms and employment questions asked across your processes to map out the best way to define these fields for all scenarios.

If using this template, note that:

  • the gender/diversity/employee fields have an advanced function applied > percentage of submitted applications column

  • these fields come from the Calculated Fields folder on the data screen. They may be example fields (and will have ‘Example’ in the name) or refer to defined metrics in your Metrics folder.

This setup makes it easier to point an existing report field to a new metric without having to reformat the column and charts.

EXEC: Application Source

EXEC: App Metrics / EXEC: Job Metrics

Percentage of submitted applications by application source.

  • Where possible, this will be mapped to the application source and other source questions in your data.

  • Otherwise, this will be by audience type (and by audience as ‘other’ in the table) as shown in the example image.

  • Sources with less than 10% of applications will be grouped under ‘other’ in the pie chart.

These two pie charts allow you to explore other application or job counts respectively by the fields available in your custom view 1.0.

Click on a pie segment to then access additional fields to break it down further.

Use these to identify other potential metrics that you might need to use in multiple reports.


Simple Templates

These simple templates are for the most common report types and may include chart options to help visualise report results. They are accompanied by:

  • specific instructions in the template description

  • general instructions co-displayed to the template’s right.

You can remove these instructions once you’ve made your updates.

TEMPLATE: Jobs Open

  • Core job details

  • Drill throughs to

    • TEMPLATE: Submitted Applications and Assessment

  • Four charts

    • Total number of open jobs

    • Number of open jobs by calendar days until closed

    • Number of open jobs with no close date

    • Open jobs by submitted applications and close date bubble chart. (Some job references may not display if bubbles overlap, and charts using days until closed won’t display content if there are no jobs with close dates.)

  • hover over each bubble to see additional job details

  • drill through from each bubble (and in the report table) to the submitted applications and incomplete applications lists

  • three hidden columns - a job count, a calculated field to count jobs with no close date, and the unique JobID used in the drill through filters.

  • Jobs by incomplete and submitted apps (stacked horizontal bar)

TEMPLATE: Offered Candidates List

Requires your definition of an accepted offer and the relevant date field to filter to offers within a desired period.
