Email templates can be created to use across multiple review templates. It is best practice to configure the email templates prior to creating a review template. Email templates are created in System Configuration.

Follow the steps below to create an email template:

  1. Navigate to the System Configuration tab.

  2. Click on Email Templates.

  3. Click +New Email Template.

  4. Enter the email template name.  The email template name is what you will look for when adding this to a review template so make sure it is reflective of the email purpose e.g. “Employee Goal setting phase completed - Manager notification”.

  5. Select the email template type.

    Notification – An email template that is attached to a review template. This is used to notify an Employee or Manager when certain events are triggered throughout the review process.

    Probation Notification – Reminder to Manager and Employee that the end of probation is coming.

    Ad Hoc Review – An email template that can be sent out to an employee or manager on an ad hoc basis. This email template is not linked to a notification trigger.

  6. Enter the Reply To email address.

  7. Enter the subject of the email. Click on Merge Fields to add a merge field to the email subject e.g. Review Name.

  8. Enter the email body in the Content field. Merge fields can be added to the email body; to do this click Merge Fields.

  9. Click Submit to complete.
