Below are the listed enhancements included within the 5.2 release. These enhancements target feedback that we have received from clients regarding the need for automation of PDF packaging and the availability of an integration with various Job Board providers.
If you require any further information regarding these new features, please reach out to your Client Success Manager who will be able to take you through these further.

Feature 1: PDF Package and Email Action


Description: This new Assessment Process Manager Action will allow for the automation of candidate PDF package creation and easily email the candidate package to relevant parties.  This functionality can be configured throughout an assessment process, at various stages, resulting in the generation of candidate packages that will be automatically emailed to configured recipients.  System users that have access to create/edit assessment process templates will automatically have access to this new feature.
How this helps: Previous functionality did not allow for PDF package generation to be automated.  PDF packages were only available via the candidate list and were required to be manually triggered.  The new functionality will provide automation of this activity.
Example: The payroll team require all uploaded superannuation documentation for new starters as soon as they have completed their onboarding information.  A PDF Package and Email Action can be configured to trigger on completion of the onboarding step.  The Action will automatically package the superannuation documentation for the new starter and email it directly to the payroll team.

Instructions on how to set up the action within the assessment process template:

The email template that will be used to transmit the candidate package needs to be created within the Email Template Library in the first instance.  Please create the email template as an Assessment Process email for it to be available within an assessment process. Instructions on creating email templates is available on our Knowledge Base here

When the email template has been created, locate the Assessment Process Template that you require the action against and navigate to the applicable step

Create the rule that will be the trigger for the PDF Package and Email action and Save

Select the option Add Action

Select the option PDF Package And Email from the Action Type drop down list
Note: This action is not available on Approval steps

The following fields will display:
Current APM Step - Indicates the step within the assessment process that this rule will be created against
Current Email Template - Click to select the previously created email template and make any updates required
Recipients - Allows the selection of the system user/s that will receive the email
Forms - Allows for the selection of the applicable forms and file uploads that will be packaged

When the applicable email template has been selected the recipients need to be defined. Click Add Recipient
Note: Recipients or Forms cannot be added until the email template has been selected

The available recipient options are:
Step Users - the applicable step will need to be selected and will trigger the email to the user that completes the referenced step.  Only steps available above the current APM step will display.
Role - the applicable role will need to be selected
User - the applicable system user will need to be searched and selected
User Group - the applicable user group will need to be selected, the email will trigger to every member of the user group 

Note: Multiple recipients can be added across multiple recipient types.  Each recipient will receive an email, which will be logged against both the candidate card and the user account.

When the recipient/s have been selected, the next step is to determine the forms and file upload documents that will be included within the candidate PDF package.
Select Manage Forms

The Manage PDF Package Forms screen will display all the assessment forms available above the current assessment step.  They will appear in order and will be broken up into Application Form and Assessment Form(s) categories.
If there are any file upload questions on the forms, they will also appear for selection.
Use the tick boxes to select one or more options for inclusion in the candidate PDF Package and click Save

The rule action screen will be displayed and the forms previously selected will be visible within the Forms table.  Select Save to be redirected back to the Manage Rule screen.

The option Manage Forms can be used to amend the information that will be captured within the PDF Package and Email action.

The rule and action have now been created and will trigger when the defined criteria is met.
Note: Packages will be created on a per candidate basis and the recipient/s will receive one email per candidate.  If you would like to combine candidates in one package, then this needs to be completed manually from the Candidate List.  More information on packaging from the candidate list is available on our Knowledge Base here.


Additional Information on how the feature functions

When the PDF Package and Email rule is triggered, a message will display in the messages tab.  From here you can manually download the package.

The candidate card will be updated with a log of the sent email. This information is available within the tab Communication Log tab.

To view a copy of the email select the option View.  Information on the recipient and the PDF package is available.

The email information is also available within the user account of the recipient.
Navigate to the user account and select Email Log. This will display a list of all emails triggered to the user.


Feature 2: Job Board API


Description: We are extending our API suite and introducing a new Job Board API and integration framework, which will allow job ads to be posted out to other job boards. These ads will point back to the candidate portal to allow for the candidate to apply via the candidate portal. The API will allow for customers, their designated third parties, or Acendre services to perform integrations.
How this helps: Customers will be able to easily integrate with job boards of your choice and track the source of each application to understand which channels provide the best return on their investment.

Fixes

Acendre Recruitment

  1. GSD-3381: We were informed by the community that deleted and inactive users were appearing in the drop-down list when applying job role permissions to a job. The team have found the problem and have added additional filters to the process.
  2. GSD-3367: We found a problem with the standard XML feed where the feed was incorrectly rendering the data fields and made it difficult for customer systems to consume. The root cause was identified and resolved with a small software fix.
  3. GSD-1964: We found a problem with the preview/view form functionality where it allows users to edit but not save the form. The root cause was identified and resolved with a small software fix.

Acendre API Platform

  1. GSD-3005: We have had a report from a customer that they were receiving an error message when updates to a user's position information in the performance product via the API gateway using the position number reference number were attempted. The issue was identified and fixed.

Acendre Performance

  1. GSD-2378: We found that some of the date fields on the forms were not defaulting to the configured system setting. The issue was investigated and resolved.
  • No labels
