Using EXEC: Time to Fill

If you have defined your Time to Fill placeholder fields (and this has been updated in your view), the EXEC: Time to Fill report will automatically reflect these new definitions.

To create your own version, go to Report > Copy.

If you’re a system admin/super user, you can give yourself access to the original template and update this first. Go to Administration > Content > Templates subfolder and give yourself Edit access to edit the template.

Basic Construction

The report lists each job where the Time to Fill End Date occurred in the last 12 months (by default). It will show:

  • The defined Time to Fill Start/End and days between

  • Request Submitted/Completed and days between

  • Job Creation Started/Completed and days between

  • Job Open/ Close and days between (or days to now if no close date)

  • Job Archive Date

Calculating Days Between

  • The Time to Fill (Days) calculation is done in the view configuration by Acendre based on the default definition or your updated definition.

  • The other day calculations are achieved by applying an advanced function against a duplicate of the later date column for the time period measured (eg Request Completed).

  • Unit > Quarter is applied to the END date, allowing the average to be shown per quarter.

  • Aggregation > average is applied to the Time to Fill (Days) field.

  • A trend is applied to the Time to Fill (Days) field.

  • A date slider is added below the chart to allow the end date range to be adjusted.

 

Customisation

How you might customise your Time to Fill Report depends completely upon your requirements. It might be as simple as adding some key custom fields for each job or for filtering. Or it could be a really advanced rebuild using very specific timestamps and stages to reflect your processes.

You can modify your report by adding relevant fields from your custom GQ folders as filters and/or fields.

You can add other dates and measure the days between, however this can require some advanced configuration. Here are some key steps to follow.

  • Your END date must be defined first and added to this initial report twice. You may need to add additional filters isolate a specific event - eg the Process Step Start Time (your END date field) for a specific Process Step Name (your filter and relevant value).

  • If your start date also needs filters to isolate, you might need to configure this in a sub-query (see this page for detailed instructions). You will need to:

    • add JobID as a column and hide it

    • add a sub-query > append > basic and join it by the JobID field to the same field in the sub-query

    • add your filter(s) to this sub-query and the relevant date field as your start date.

  • On your second END date column, apply an Advanced Function > as shown above, selecting your START date as the start date to measure from.

You can modify the existing charts or copy them by clicking the three vertical dots in the right corner of the chart thumbnail.

If you would like to update or replicate this chart with your own days between measure, you’ll need to replace the above fields with your fields and repeat the above settings.

Additional Charts are included that you can add to your canvas, modify/copy or replace the existing chart on the canvas.

Time to Fill Distribution

Shows the number of jobs by day range, and outliers.

 

Average Time to Fill Breakdown by Quarter

Shows the average time to fill by quarter for each stage measured in the report.

 

Custom Granularity

You can change the granularity of the report by:

  1. Removing report-specific items (everything except for the Time to FIll (Days) column!), and

  2. Replacing it with another fields (or fields) that you’d like to measure.

It might then become a simple report that measures the average time to fill per (for example) group for the filtered date range. You will also need to complete the following steps.

  • Apply Aggregation > Average to the Time to Fill (Days) column

  • Add your desired field to the vertical column on the third chart (where the Time to Fill End Date was previously and remove the trend field (no longer applicable)

Your new chart might look something like this:

 

 

  • Adjust or remove the chart title

Additional options:

You can colour your chart by your new field but you will need to rebuild it as a Stacked Vertical Column first.

1. Change your chart type to a Stacked Vertical Column

2. Re-add your fields as above and then add your field to the colour (aka color) box.

Updating Your Canvas

Modify your canvas on the Design page to reflect any new or optional charts that you’d like to use.

Drag your charts and other canvas content from the left hand menu to the canvas.

 

Move, resize, align or delete your canvas content as required.
