Adding Review Template Notifications

Notifications are triggered based on an event occurring in the review process. A notification can trigger a pop up window on a user’s screen or send an email to the relevant user.

Follow the steps below to configure an email into your review template:

  1. Click on the Reviews tab.

  2. Click on Review Templates.

  3. Click Edit on the review template.

  4. Scroll down to Notifications and click +New Notification.

  5. Click Email in the drop down.

  6. Select the Trigger that needs to occur to send the email.
    Triggers can be based on events or actions that occur within a phase of a Review or based on the full Review (completion of all phases). 





  7. If the trigger is either ‘Complete’ or ‘Not Complete’ you will need to select from the By field. If it is ‘Not Complete’, then By is the user who has not completed the phase/review. If the trigger is Complete then By is the user  who has completed the phase.

  8. Prior to close field will appear if a ‘Not Complete’ trigger is selected. You can specify when the email is to send based on the phase or review close date.  If the user specified in the By field has not completed the action by this time, the email will trigger.

  9. Select the email template in the drop down.

  10. Select the Recipient of the email.

  11. Click Submit to finalise.

 

Example:

 

In the example above, an Employee who has not completed the Appraisal Phase 7 days prior to its close date will receive the email.  You may also wish to alert the manager that an employee has not completed the task.  To do this you can either select multiple recipients (which will send the same email) or set up a separate notification.  It is recommended that where emails are personalised (e.g. Dear Tim), separate notifications are set up.
