Release Timing

This release will be deployed across several dates commencing on Tuesday 18th March from 9pm (AEDT).

A notification will be sent out in the week prior to your system being upgraded.

During the time of deployment, you may experience downtime for up to two minutes. Whilst this downtime is minimal, we recommend that wherever possible, any large or critical system tasks be completed before close of business on the day of a deployment or commenced the day after.

Deployment Walkthrough Webinar

We are running a walkthrough webinar of the features included in this deployment. During this webinar, we will demonstrate where the updates have been made and how it changes the system. We will also discuss the benefits that you will see from the updates.

Summary

Changes to editing Forms and Form Templates

What It Is: Users will no longer need to click the “Edit Form/Form Template” button in order to edit forms at a template or instance level. This will occur for all forms and form templates except for Requisition Forms, where the Edit Form/Form Template button will remain.

The Benefits: This change reduces the amount of ‘clicks’ a user has to take in order to edit a Form or Form Template


Addition of ‘Label’ Global Question Type

What It Is: A new Global Question Type “Label” will now be available and can be specifically used to insert read-only text into a form.

The Benefits: These Global Questions can be added to forms without the need for then changing configuration options and selecting ‘Read Only’.


Addition of Documents Log to Candidate and Talent Card

What It Is: A Documents Log has been added to the Candidate and Talent Cards and will display documents submitted as part of the application and assessment process. Visibility of the Documents Log can be controlled via Candidate Card and Talent Card UDVs.

The Benefits: Users are able to access documents in one place rather than via each application and assessment form.


Greater flexibility when packaging file attachments

What It Is: File attachments associated with an application form or assessment forms may now be individually selected when packaging from the Candidate List or the Candidate Card.

The Benefits: Allows users to specify and include only relevant documentation when creating a Package.


Changes to information displayed in Global Question Lists

What It Is: Lists displaying Global Questions will now include a new column: “Question Text”. This column displays the first 92 characters of the Question Text. Global Questions on a Form Template will also now display both the Question Reference and the Question Text. Question Reference will be listed first in bold print, and Question Text will appear on the following line.

The Benefits: This change helps users identify specific Global questions without having to click into the Global question itself.


Global Question Keyword search enhancement

What It Is: Users are able to enter up to three keywords to be searched on (using the AND relationship) in the Global Question Library Filter Form.

The Benefits: Users can narrow down search results where many questions begin with similar phrases.


Searching Recruiter Files

What It Is: The Recruiter Files list and Merge Documents list have been combined into one list with Merge Documents denoted by the “Merge” label. Documents can be filtered using the new Recruiter File Search Filter located at the top of the screen.

The Benefits: The addition of the search feature allows Users to easily find the relevant document or type of document within the Recruiter File list.


Hiding rows in a Group Question

What It Is: A new option “Hide Rows That Don’t Have Any Data” may be configured against a Group Question meaning rows that do not contain data in at least one cell in the row will be hidden on the Form.

The Benefits: A cleaner appearance with only relevant data viewable.


Using decimal places when scoring within an Assessment Step

What It Is: Up to three decimal places can now be specified against the scoring of a rule in the Assessment Process.

The Benefits: Allows for more detailed and accurate scoring within an Assessment Step.


Changes to editing Forms and Form Templates

Users will no longer need to click the “Edit Form/Form Template” button in order to edit forms at a template or instance level. This will occur for all forms and form templates except Requisition Forms, where the Edit Form/Form Template button will remain.

When selecting to Edit a form, users will be able to edit straight away using the options under the Action menu.


Addition of ‘Label’ Global Question Type

A new Global Question Type ‘Label’ will now be available and can be specifically used to insert read only text into a form. When configuring a form, this question type can be used as a dynamic child question.


Given the nature of this question type, configuration options such as pre-population, single instance and alignment are not available and users will not have to select the Read Only option when adding this question type to a form.


Addition of Document Log to Candidate and Talent Card

Users will now be able to access documents for a candidate in a single place rather than via application and assessment forms. A Documents Log has been added to the Candidate and Talent Cards and will display documents submitted as part of the application and assessment process.

The Candidate Card will display documents submitted for that particular job only and the Talent Card will display documents for all jobs that a candidate has applied for.


Users can view a document by selecting ‘View’ from the Actions menu.


Where a new version of a document has been uploaded AND versioning has be enabled for the particular File Upload question, an entry log will be created each time a file is uploaded however only the most recent file will be viewable. For each other entry, the text ‘Previous Version’ will be seen. Where Versioning has not been enabled for a File Upload question, only the most recent entry will be visible.


Visibility of the Documents Log can be controlled via Candidate Card and Talent Card User Defined Views (UDV’s).

When editing or creating a new Candidate Card or Talent Card UDV, Users will be able to select to include the Documents Log under Candidate Logs.


Greater flexibility when Packaging File Attachments

Users are now able to choose which file attachments associated with an application form or assessment form, are to be included when packaging from the Candidate List or the Candidate Card.

When selecting a form to be included in the package, a list of the File Upload questions that are included on that form will appear. All File Upload questions will be pre-select by default and users are able to deselect those that are not to be included in the package.


Changes to information displayed in Global Question Lists

Users can now search this list by selecting the ‘Show Search’ option and entering criteria into the search fields. Users may search on a combination of Keywords, File Type and Created Date.


Hiding rows in a Group Question

When setting up or editing a Group Question, a new option “Hide Rows That Don’t Have Any Data” is now available.

This feature is best used when Pre-Populating a Group Question on to a Form as Read Only. When enabled, any rows that do not contain data in at least one cell in the row will be hidden on the Form.


Using decimal places when scoring within an Assessment Step

When using scoring within an Assessment Process, Users can specify up to 3 decimal places against the scoring of an Assessment Step Rule.


Additional changes

In this release, some small changes have also been made that will not affect functionality, however users may notice minor differences to some areas of the system. These changes include the following:

Application Summary Display Changes (Candidate Portal and Back End)

Edit links are now displayed next to the Form Step Name rather than next each question and the Step Status is displayed under the Form Step Name. Completed steps are displayed in black, Incomplete steps are displayed in Red and mandatory questions are now denoted by a red asterisk.

Messages List Changes

Some cosmetic changes have been made to the list on the Messages Tab which include: the addition of an ID column, Job Reference Number and Job Name columns have been combined into one column called “Job” with Job Reference Number bold and Job Name in brackets on the next line.

Candidate Status Log

Job Reference Number has been added into the Candidate Status Log for both Candidate and Talent Cards.

Manage Roles

Minor cosmetic changes have been made to the Manage Roles screen with the “Is Used” label being removed and mandatory Roles denoted with a red asterisk.

Delete Global Question Confirmation

When deleting a Global Question from a Form, the confirmation message will now display the Question Text above the confirmation. The Question Reference has been removed from the message heading.

Pre-populated Files Display

Files of pre-populated File Upload questions on Forms will be displayed initially with the Download link separate to the filename. Upon the Form being saved, the file will be displayed with the filename as the link to download to the file.
