Creating a Form Template
- Click the +Add New Form Template at the top left of the screen.
2. This will take you to the Manage Form Template screen.
3. Create your form by filling out the following:
Form Type: Select which form to use by using the Form Type drop-down list. In this instance we will be creating an Application Form.
Form Name: Type in the name of the form in this field, e.g. Graduate Application.
Form Status: This will allow you to activate/de-activate forms. You won’t be able to change the status to Active until there is at least one step in the form. It is best practice to make the form active only after you have completed building the form.
4. Once you have filled out the basic form details, click the Save button at the left.
5. You will then see the following screen:
Now you are ready to build the form. First, you will need to create a Form Step. A Form Step represents a page in the form. For example, a step may be called ‘Personal Details’ and examples of questions that exist within that step may be such things as Address, Phone number, Mobile etc.
6. To create a step, click on the + Add New Form Step link at the left hand side of the screen.
7. This will then take you to the Manage Form Step page:
Note: Enter the Step Title and the Step Description. The description will appear below the step name in the form and is often used to give brief instruction to whoever is completing the form.
8. Nominate a Question Label Width option to set the horizontal alignment of the question labels in the form.
There are 3 options to choose:
- System Default: the default eRecruit specifications or pre-configured form layout template.
- Custom Pixel Width: specifies a set pixel width for question label alignment.
- Custom Percentage Width: specifies a set percentage width that will keep a set question alignment, regardless of screen resolution.
If you select either custom Pixel Width or Custom Percentage width, a drag bar prompt will appear as below:
By moving the toggle from left to right, you can change the question’s label width alignment. Whilst doing this, the Sample Question will preview the question label alignment.
9. Alternatively, you can use a Form Layout, which is a pre-configured alignment template. This can be selected on the Manage Form Template screen:
If you use a form layout, it will apply the formatting to every step in the form.
10. Once you have completed this section, click the Save button at the bottom.
11. Your form will now have its first form step.
You will be able to edit or delete your form step at any time by selecting the links below:
12. Now you need to add questions to the form step. You have the option to add a brand new question to the form step or import the questions from the Global Question library.
13. To import a question from the Global Question Library, click the Add global question link here:
14. This will take you to the Global Question List.
Only questions related to the type of form you are building will appear, in this instance it will only show Application Form questions.
15. To navigate through the Global Question List, scroll through pages by selecting the page number at the top right hand corner of the screen.
16. The Global Questions are sorted by Reference alphabetically, however you can also sort the questions by Type and Date Created by clicking on the column headers like so:
17. Alternatively you can search the Global Questions by selecting Search at the top left of the screen.
The keywords will allow you to search for Global Questions by either question reference or any of the question text.
19. Once you have entered your search keyword(s), click the Search button on the right hand side.
This will return a list of questions that match your keyword search.
20. Add the question(s) that you would like to use in the form by clicking the checkboxes under the Select column.
21. Alternatively you can select all the questions on the page by selecting the Select all on page checkbox at the top. As the page will show only a maximum of 20 questions per page, you can select all the questions in the list by choosing the Select all in list checkbox.
If you select a number of Global Questions to use from one page, and then do a key word search, your selected questions will be removed as a selected question.
If you select a global question off the first page, you can then navigate to the next page and you will not lose the question selected.
22. Once you have selected the required questions, click the Add button at the bottom of the screen.
23. The form will now appear with the new questions added to the step; the blue icon will indicate the question is Global Question.
24. To change the order of the questions, left mouse click and hold on the question name, and then drag and drop the question to the position on the form you would like it to go, as seen below:
Once you are happy with the order of the questions, you must save the form to lock them in order. If you leave the page and dont click save your questions will return to the order before you ordered them.
25. The next time you add more Global Questions to the form, the questions already used in the form will have an x under the select column, so you won’t be able to add a duplicate question.
26. To add more steps to the form, click on the + Add New Form Step.
