Notifying Vendors

Once you have assigned a job to a vendor/vendor consultant, you are able to notify them via email of the job assignment.


To do this:


  1. Click the checkbox for Vendor Branch/Consultant(s) you wish to notify on the Job Vendor List.

     


  2. You can multi-select either all Vendors on the page, or all in the entire list by using these checkboxes in the grey bar here:



  3. Once you have made your selections, go to the Actions dropdown list on the right-hand side of the screen.




  4. From this list, select New Email and click GO.



  5. This will display the Create & Preview Email page.




  6. From here, you can create a new email by entering text into the Email Subject and Email Body fields.


  7. Alternatively you can select a template from a library of pre-configured System Email Templates. To access these, click the Get Email Template button at the bottom of the screen.



  8. This will display the Select a Template page.




  9. Select the email template you require here. The email subject and content text will display.




  10. To use this email template, click the Use Template button here:




  11. This will return you to the Create & Preview Email page, with the text from the email template visible in the email body. You can edit this text if you wish.
    Note:  You can attach documents to this email by clicking the Browse button next to the Email Attachment box.




  12. To preview this email, click the Preview button at the bottom of the screen.



  13. This will then show a preview of how the email will look.




  14. To send this email, click the Send button at the bottom of the screen.



  15. You will be able to notify vendors at any time during the recruitment process by accessing the Vendor section of the Job Card and following the steps outlined above.
