Inviting the candidates to an Activity

Once you have created the Interview Block, you can start inviting your candidates.


To invite candidates:


  1. Click the Jobs icon at the top of the page.




  2. This will list a display of the active jobs in your system.  Locate your job from this list that has been connected to the Activity.




  3. Clicking on the blue folder icon will take you into the Assessment process of the Job Card, otherwise known as the Assessment Process Manager (APM).




  4. On the APM, click on the number where your potential interview/activity attendees currently are pending invitations.




  5. This will take you to the Candidate List. Select all in List if you wish to invite all candidates listed. Alternatively place a tick next to the candidate(s) you want to invite.




  6. From the Action drop-down in the top right hand corner, select Invite to Activity, and click the Go button.




  7. You will then be asked to create an Activity Ticket.  A ticket will represent the booking instance, allowing you to track the booking progress of any invited candidate. 



    You will be able to choose one of the following 2 types of tickets.


    • Activity.  Choosing the activity will allow you to invite the candidate(s) to book on any days set out for the activity.


    • Activity Block.  Choosing the activity block will allow you to invite the candidate(s) to a particular date only for that activity.


  8. Once you have chosen either Activity or Activity Block, click the Save button in the bottom right hand corner.




  9. You will then be shown the invitation email. You can make changes to this email if required.




  10. Preview this email by clicking the Preview button in the bottom right-hand corner.




  11. This will then show a preview of the invitation email.




  12. To send this email, click the Send button in the bottom right-hand corner of the screen.




  13. The candidate will then receive an invitation email, and then the candidate can book themselves in via the candidate portal.


  14. Once you return to the Candidate List a Ticket column appears.  This will show which candidates has been invited as well as which those who have booked themselves in.




  15. To track the activity/blocks whilst the candidates book themselves in, go to the Job Card and under Candidate Groups & Assessment – choose Manage Job Wide Interviews.




  16. Click View Blocks.




  17. You can view the booking via the Activity Blocks page by clicking on the Slots link.




  18. Candidate names will appear here once they book themselves into an interview slot.



    Click email calendar link to email the booking as a downloadable outlook file.  You can also download it to your calendar by clicking get calendar link.




  19. Alternatively, you can manually book candidates into an interview slot by clicking on the assign link here.



    When selecting this option, you will only be able to assign the slot to candidates who have been assigned the appropriate Activity Ticket.
