Deleting incomplete jobs
A job is created as soon as a Job Template is selected or submitting the Job Details step when creating a job. When a job is accidentally created or an incorrect job template has been selected, it often remains in a users’ job list as Incomplete and is unable to be removed until the job creation workflow is complete. Over time these can build up and leave users with a job list full of jobs that are no longer relevant.
In this release, we are extending the ability to delete jobs that have not been completed. This will allow users to keep their job list relevant without having to spend time completing the full process to be able to delete it.
In order to delete a job, whether it is complete or incomplete, a user must have the permission Delete Job Card assigned. This can be done at User or User Group level and is located under the Job Manager module.
When selecting an incomplete job from the list, a user is taken to the current step for that job. If the user has permission they will now see a Delete Job Card link on the right hand side of the screen..
The Delete Job Card link will appear on every step of the workflow, allowing an incomplete job to be deleted at any point during the process.
When a user clicks the link, they will be presented with a message requesting confirmation to delete the job.
Once the job has been deleted, the user will be returned to the jobs list and see a confirmation. Once deleted, a job can not be reinstated.
Users with permission to delete Requisitions will also notice a change to the appearance of the Delete Requisition link making it more obvious and consistent across the system.
Enhancing the Requisition Process Email Action
Requisitions can currently be configured to send emails to users who are assigned to steps in the process. In order to ensure that our users are able to communicate with the right people we are introducing the ability to email users who are not actively involved in steps within the process.
The process of adding an Email Action to a Rule within a Requisition Process will remain the same.
Users will be required to select an email template first and will then have the ability to allocate users for the email by clicking on the Add Recipient link.
Users will continue to be able to send emails to users assigned to a particular step in the Requisition Process (Step Users) but will also have the ability to send emails to different Recipient Types: Users, User Groups and Roles.
When selecting the Recipient Type of Role, the user will be presented with a drop down of all active Roles. Using this setting will mean a user assigned to the role for a particular requisition will become the recipient of the email.
Important: A user must be allocated to the Role and the Assign Roles step completed in order for this Recipient Type to function correctly. If a user has not been assigned to the Role, an email can not be sent.
When selecting the Recipient Type of User, the user will be presented with either a drop down of all active Users in the system, or an Add Users link (depending on user settings).
Customers who are presented with the Add Users link will then be taken to a User List where they can search for specific users using the Show Search option. Once located, the user can be selected by clicking the link in the Action column.
When selecting the Recipient Type of User Group, the user will be presented with a drop down of all active User Groups. Using this setting will mean all users within the group will receive the email.
Multiple users can be allocated to receive an email under a single action and will appear in a table as they are added. Users can be removed by selecting the Delete link under the Action column.
Accessing the Global Assessment Form (GAF) template
To date, access to edit the Global Assessment Form (GAF) has been available via System Forms and as an option under the Talent Warehouse module.
Following this deployment, assess to the GAF will only be available via System Forms which requires function permission to Configure System Forms.
Changing your password
In this release we are introducing a new security measure when users can change their password in eRecruit. Users can change their own password by accessing My Settings at the top of the screen and selecting Change Password.
Users will now be asked to enter their Current Password before entering and confirming a new password.
Changes to managing CareerOne Job Ads
Customers using the CareerOne job-board integration will notice some minor changes following this month’s deployment. These changes are aimed at safeguarding against the duplication of Job Ads.
The Job Reference is unique to a Job Ad and if changed, will result in a new Job Ad being posted. Once a Job Ad has been posted to CareerOne, the Job Reference field of the Job Ad will now be a read-only field, eliminating any risk of the Job Ad being duplicated unintentionally.
The Actions available to users will also slightly change following this deployment. After making changes to an already posted Job Ad, a user will have the ability to Expire the Job Ad rather than Delete whilst the Job Ad is Awaiting Next Upload. The Delete Action will now only be available on Job Ads that have not been posted.
