This deployment

This deployment will occur on the evening of Tuesday 19th June 2012 and will include the following enhancements to your System:

Enhancing the use of Restricted Job Card Access: Allowing Restricted Job Card Assess to be allocated via any Job Permission Type: Job, Job Template, Audience Type or User Job.

Improving Task List Usability: Providing Users with the ability to search the Task List according to particular Job Details information; allowing Users to filter tasks to show only those that have been specifically assigned to the User.

Criteria Setup warning information: Alerting Users of the potential consequences of moving past a Criteria Setup step without selecting Criteria.


Enhancing the use of Restricted Job Card Access

In this deployment, we will be extending the use of Restricted Job Card Access to all Job Permission Types. Via a User or User Group profile, Restricted Job Permissions can now be allocated to users based not only on a specific Job, but also a Job Template, Audience Type or Job attribute (User Job). E.g. Division, Location.

Restricted Job Card Access provides Users with ‘Read Only’ access to the Job Card and limited access to the Assessment Process Manager and Candidate List. Restricted Job Card Access helps to eliminate the risk of Job information being altered by Users who do not have permission to do so, and also assists in de-cluttering a Users screen so that they only see the information they require. For more information on Restricted Job Card Access please take a look at our November 2011 Release Note.

Restricted Job Card Access is configured through the Job Permission menu option when managing a User Profile or User Group.


After selecting to add a Job Permission, the User is able to define what the permission should be based on by selecting a Job Permission Type. For each type of permission, the Restricted Access option will be available.


Once Job Permissions have been added to a User Profile or User Group they will be listed according to Job Permission Type and will show whether the Full or Restricted access applies.


Restricted Job Card Access for individual Users or User Groups can also be configured for a specific job via the Job Card. By Selecting User Access Permissions from the Job Details menu, the option of adding both User and User Group Job Permissions is available.


Multiple Users or User Groups can be allocated Permission to the Job, and Restricted Access is applied by checking the tick box at the bottom of the screen.


Important: It is possible that multiple Job Permissions Types apply for a User /User Group against the same job. In this case, a Job specific Permission Type will take precedence over any other Permission Type (Job Template, Audience Type or User Job).

For example, if a User or User Group has Restricted Access to all jobs within the Marketing Division (via the User Job Permission type), and is then given Unrestricted Access to a specific Job within the Marketing Division then Unrestricted Access will apply to that Job.

Did you know?

Job Permissions can be assigned based on specific information about a Job. For example, a User or User Group could be given permission to all jobs in the Marketing division.

System Administrators are able to set this up via System Forms under the System tab. By selecting the User Job Permission Form option, the user is able to add in the required Job attributes (or questions) needed for allocating the Job Permissions.


The User will need to define the text and format of the question for the User Job Permission form and then map it to the appropriate Global Question in the Job Details form.


Once the questions have been defined for the User Job Permission Form, the User can then begin allocating Job Permissions based on answers to these questions. Via a User or User Group profile, under the Job Permissions menu option, the User should select Add Job Permission followed by selecting ‘User Job’ as the Job Permission Type. The User will then be able to select which Job attributes (as defined in the User Job Permission Form) will trigger the Job Permission.


Improving Task List Usability

The Task List provides Users with a central place for keeping track and managing the actions they need to perform in the system. In this deployment we will be introducing several changes aimed at assisting Users to find and action tasks more effectively.

The first enhancement is the addition of Search functionality. Users will now be presented with the familiar ‘Show Search’ link which will allow the Task List to be searched based in Job Details information.


By default, Users will be able to use a Keyword search of the Task List. Keywords will search the following fields:

• Job Name

• Job Reference Number

• Job Overview

• Job Keyword

• Requisition Name

• Requisition Reference Number


Users with permission to Configure System Forms in the System module will also be able to add filters based on Job Details Information. These filters will then be available to all Users accessing the Task List.


By selecting the ‘Add Filter’ link, the User will be presented with a list of Job Details Global Questions in which to select from. The User also has the ability to search the list of questions using the Keyword search feature.


Once the correct Global Question(s) have been located, the Select tick box should be checked for each one. The ‘Add as filter questions’ button at the bottom of the list should then be selected in order to add the selected questions as filters. Users can also select the ‘Back’ button to return to the Task List without adding any filters.


When the question(s) have been added, they are then ready for use in filtering the Task List. By selecting the required search criteria and clicking the Filter button, the Task List will return Tasks that met the selected criteria.


Filter questions will remain until manually removed by the User by selecting the red cross icon (User must have permission to Configure System Forms). Any applied filters will remain throughout a Users eRecruit session but can be cleared by selecting the Clear button.


In further enhancements made to the Task List, we introduce the ability for Users to filter the Task List to show Tasks that they have been specifically assigned to. By selecting ‘Assigned Specifically to Me’ from the ‘Assigned To’ drown down filter, the Task List will filter to show only Tasks that have been assigned directly their User account or via their allocation to a Role.


The ‘Available to Me’ filter will continue to show all Tasks available to the User, whether it be Tasks specifically assigned to the User or Tasks assigned to a User’s User Group or to all Users with permission to the Job. The ‘Available to Me’ filter will remain as the Default filter option.


Please Note: Following Customer feedback, the final change we have made to the Task List in this deployment, is to remove the Deadline column in order to eliminate any confusion it causes for Users.


Criteria Setup warning information

When moving through a Requisition or Job Creation process that includes a Criteria Setup step, we have now introduced some warning text to inform users that by proceeding past the step without selecting Criteria will mean that associated questions in application and assessment forms for the job will be removed. Once removed, these questions need to be manually re-added to the forms, therefore the aim of this warning text is to alert Users to the consequences of moving past this step without completing it and reduce the amount of instances where questions need to be re-added to forms.

When a user progresses past a Criteria Setup step without selecting anything, they will be presented with a new information screen. Users are able to click Save and Continue to progress past without selecting Criteria, or use the Cancel button to return to the Criteria Setup Step.
