This deployment
This deployment will occur on the evening of Tuesday 17th April 2012 and will include the following enhancements to your System:
Recording Notes in bulk: Providing Users with the ability to record the same Note again multiple Candidate Cards via the Candidate List and Task Candidate List.
Improved Usability within the Task List: Providing flexibility to display only certain Tasks by default, based on their Status (eg. Current < 60 days)
Enhancements to the Email menu of a Job Card or Job Template: Allowing Users to remove and replace existing email templates and improving usability when accessing the email menu within a Job Card or Job Template.
Notifying backend Users that a Candidate has withdrawn their application: Providing the ability to send an email notification to selected backend users when a candidate withdraws their application.
Recording Notes in bulk
This new feature allows a User to record the same Note against multiple Candidates from either the Candidate List or the Task Candidate List. A menu option of ‘New Note’ has now been added to the Actions drop down and provides users with a faster way of recording a Note against a Candidate or multiple Candidates, eliminating the need to access the Candidate Card. As with other Actions performed from the Candidate List or Task Candidate List, the User must select which Candidates they wish to perform the Action against.
After selecting the Action of ‘New Note’, the User will be presented with a screen allowing them to record a Note and if required, upload a document.
Once saved, the User will be returned to the Candidate List and provided with a confirmation message that the Action has been successful.
For all selected Candidates, the Note will be recorded in the Notes Log of the Candidate Card.
Improved Usability within the Task List
Currently when using the Task List, the Status Filter is always set to ‘Current < 60 Days’ by default. For Users needing constant visibility of Tasks outside this time period, there is the need to always change this filter when accessing the Task List. In this month’s deployment we will be providing the flexibility for this default setting to be changed at the User and User Group level.
Users with permission to manage User profiles and User Groups will now be able to change the default value for the Task Status Filter. When accessing a User profile or User Group, a new option of ‘Set List Defaults’ has been added to the menu on the right hand side of the screen.
Selecting a value in the Status filter drop down will change the default setting for that particular User or User Group.
When accessing the Task List, the Status filter will default to the value set for the User or User Group.
Please Note: If no Status filter default has been set at User or User Group level, the Status will remain defaulted to ‘Current < 60 Days’. Should a different Status filter be set against a User compared to that of their User Group, the individual User setting will override the User Group setting.
Enhancements to the Email menu of a Job Card or Job Template
This month’s deployment will see improvements made to the usability and management of emails within a Job Card or Job Template. All emails will now be managed from the Email menu of the Job Card or Template, with sub-menus separating the types of emails. By selecting a sub-menu option the User will be able to view all relevant emails types and be able to select, edit and remove Email Templates for the Job Card or Job Template.
Users will be able to select an Email Template from the drop down provided for each email type. Changing the selected Email Template to a different Email Template is as easy as choosing the new template from the drop down menu and clicking Save. Once an email has been selected, ‘Edit’ and ‘Remove’ links will appear.
To Edit the selected Email, click the Edit link next to the relevant email.
After clicking on the Edit link, the User will be presented with a screen allowing them to edit the email. A Cancel button is provided to return the User to the previous screen without saving changes. A Save and Review button is provided to allow the User to preview the email.
After reviewing the changes made to an email, the User has the option of clicking the Finish button to complete the editing process, or selecting the Edit button which will return the User to the previous screen to continue editing the email.
Please Note: When editing an email within a Job Template, the actual email template will be edited. When editing an email within a Job, only the instance of the email will be edited. The Email Template will remain unchanged.
To remove a selected email, click the Remove link next to the relevant Email.
The User will be asked to confirm removal of the email before the action can be completed. Should the User not wish to proceed with removing the email, a Cancel button is provided.
Please Note: When removing an Email from a Job, the email instance is deleted and the action cannot be undone. When removing an email from a Job Template, the Email Template is simply unlinked and can be reselected if required
Notifying backend Users that a candidate has withdrawn their application
We are now introducing the ability to send an email to selected Users, notifying them that a Candidate has withdrawn their application from a Job. These notifications are sent when a Candidate withdraws via the Candidate Portal or when a User withdraws a candidate via the Candidate Card.
Users with permission to manage Email Templates will notice a new Email Type of 'Application Withdrawn - User.
As with other types of Email Templates, tags can be used to merge information from the System into the Subject and Email Body. We have extended these merge tags to include Application Status information, giving the ability to merge a Candidates’ status into the email.
Once an ‘Application Withdrawn – User’ Email Template has been created, it can then be added to a Job or Job Template via the Emails menu.
Please Note: In order to manage the Application Withdrawal notification within a job, a User must have permission to the 'Manage Application Withdrawal Notifications' function in the Job Manager Module.
By selecting the Application Withdrawal Notification from the Email menu, the User will be presented with a screen where they can select the appropriate Email Template for that Job or Job Template. A User can also define which User(s) will receive the email notification. The Application Withdrawal Notification can be sent to the Job Owner, Users assigned to particular Roles, User Group, Individual Users or a combination of these. Once an Email has been selected, the Edit and Remove links will become available.
Please note that removing an Application Withdrawal Notification Email will also de-select Users.
