Deleting a Pre-Application Form from a Job
A Pre-Application Form may be required for the majority of jobs and is therefore set as part of a Job Template. There may be instances however when a Job is created from such a template but the Pre-Application form is not required. In this release, we will be introducing the ability to remove a Pre-Application form from a Job Card. Users must have function permission to Configure Pre-application form under the Job Manager module in order to complete this action.
When accessing a Job Card that has a Pre Application selected, users will now be presented with a new option Remove Pre Application form under the Application Forms sub-menu.
A confirmation screen will be presented, where you will have the option to proceed with the action by clicking the Remove button or cancel the action by clicking the Cancel button.
Once deleted, the action can not be reversed and if candidates have already responded to the form, all Pre Application form data will be deleted also. A menu option of Select Pre Application form template will be available in the Applications Forms sub-menu, allowing a pre application form to be re-added.
Connecting to the Yellowfin Reporting Mobile App Users will now be able to view eRecruit reports from their mobile devices by downloading the YellowfinBI App from the App Store. To access reports from the App, permission must be given within eRecruit. Once enabled, Module and Function permission will need to be activated for users or user groups wishing to access eRecruit reports via the mobile App.
A new Module Permission called Mobile Reports must be selected.
Followed by a new Function Permission called Mobile Reports.
Once enabled, a user will be able to access the required information and settings needed to set up the Mobile App by clicking the My Settings menu option in the top right corner of the screen, followed by the Yellowfin Mobile Report Settings link.
The Yellowfin Report Setting for Mobile Devices screen will provide a user with the necessary information for setting up the App on either an iPhone/iPad or Android device. Users will also be required to set and confirm a password for the Yellowfin Mobile App. This password can not be the same as a users’ password for eRecruit. This is due to security and the need for us to protect access into eRecuit.
You can find out more about Yellowfin’s Mobile App by visiting the Yellowfin Website - http://www.yellowfinbi.com
To have this feature enabled, please contact your Account Manager on 1800 642 638.
Previewing a Job Ad
Following this deployment, users will be able to preview a job ad on a candidate portal without the need to post to hidden or test audiences. Previewing the job ad helps to ensure accuracy in content and layout before it is released to be viewed by candidates.
When posting a job ad for the first time or editing an existing job ad from the Sourcing menu of the Job Card, a preview option will be available for all active audience types.
After inputting or editing a Job Ad, users will now see a Preview button at the bottom of the screen.
When selecting the Preview button, a new browser will open displaying the Job Ad complete with the branding associated to the audience type and any candidate portal files that have been attached.
Customers wishing to print from the Preview screen should do this by using the Print function available on their browser menu. Users can close the Preview screen by clicking on the Close button or by closing the browser tab.
Existing Job Ads can also be updated when editing the Job Details card and saving the changes.
Upon saving the changes, the user is prompted to select which (if any) audience types should be updated with the changes made. A new link, Preview Job Ad, will now be available for each audience type that currently has a Job Ad configured.
Job Status Change Notifications
Job Status Change Notifications is a purchasable feature that allows communications to be sent to users when a Job Status is changed. To date, Job Status Change Notifications have been a system wide setting, meaning the communications and triggers have been the same for all Job Templates and Jobs. In this deployment, we will be introducing more flexibility for this feature, allowing notifications and triggers to be configured at a Job Template or Job Instance level and for notifications to be sent to any Role, user or user group within the system.
Once enabled, a user must have Module Permission to Job Manager and Function Permission to Configure Job Status Notifications in order to configure or update Job Status Change Notifications at a Job Instance level.
In addition to the permissions above, a System Administrator must also have Function Permission to Edit Job Templates, in order to configure or update Job Status Change Notifications at a Job Template level.
Job Status Change emails can be set up in the same fashion as all other system emails, via the Communications Manager on the System tab.
A new email type, Job Status Change, will be available and should be used to configure the required email templates.
Once the correct permissions have been granted, and email templates have been created, a user will now see a new option called Job Status Notification under the Email menu of a Job Template or Job Card.
To add a new Job Status Change notification, select Add New Notification on the right side of the screen.
The Manage Job Status Notification screen will then allow a user to set the criteria for the notification. A target Job Status must be selected from the drop down followed by the trigger that will send the notification; Entry = Job changes to the target Job Status; Exit = Job changes from target Job Status to another status. The appropriate Email Template for the notification should then be selected.
Multiple recipients may be selected to receive the notification and can include Job Owner, user assigned to specific Roles, User Groups, or individual users.
Once completed and saved, users can return to the Job Status Notifications screen by clicking the Cancel button or using the breadcrumb trail at the top of the screen. From here, users will be able to see a list of all configured Job Status Notifications for the Job Instance or Job Template. An Edit option will be available and will allow users to change any element of the notification including the wording of the email.
Please note: When changing the wording of a Job Status Notification email within a Job Instance, the original email template will not be affected. When changing the wording of a Job Status Notification email within a Job Template, the original email template will also be changed.
From the Job Status Notifications screen users can also delete a notification. By selecting the Delete option, a confirmation screen will appear. To continue with the action, the Delete button should be selected. If the Cancel button is selected, the action will not be completed and the user will be returned to the previous screen.
This is a licensable feature. To find out more, please contact your Account Manager on 1800 642 638.
