Important announcements
You may already be aware that NGA.NET eRecruit is moving to monthly deployments as of February 2011.
Â
Further information about the changes, how it will impact you, when the next deployment will be and what is covered will be available next week.
Enhancements
This deployment will cover the following enhancements to your system:
Â
- Simplified use of Filter Forms: We have made some changes to the configuration of System Filter Forms. This section of the release note will show you how to Add Filters, Show and Hide search options and how to use Keywords when searching. See below for further detail about each change.
Â
- Candidate List search and filter updates: We are excited to announce that work has been completed allowing our Users to use filters and Keyword searches in the Candidate List. This should greatly improve the ability to locate specific candidates within the Candidate List.

- Links to ‘Complete Form’ and ‘Edit Form’ removed for withdrawn applicants: As part of a fix, we have removed links to Complete and Edit Form when a candidate has withdrawn their application. Since this is a change, we wanted to notify our Users.
Â
- Recent Actions to display last 10 actions: The order in which the Recent Actions widgets display on the home page has changed, they are now in descending order. See below for further detail about the type of actions that are recorded as Recent Actions.

- Group Question validation messages: We have updated the back end of the system to ensure that correct validation messages are displaying to Users when Group Questions are being completed. See below to see what gets validated.
Â
- User Interface changes for consistency: Some slight changes have been made in the back end of the system such as logo positions, alignments and spacing to improve consistency and the system’s ease of use.

- CareerOne integration updates: NGA.NET Integration Partner CareerOne has made some updates that may affect NGA.NET Customers. Please speak to your Account Manager if you would like to know more about the updates, or would like to integrate your system with CareerOne.

Upcoming enhancements
In the February deployment, Users will have the ability to assign User Defined Views (UDVs) to Roles. This will allow infrequent eRecruit Users to access the Candidate Card from the Task Candidate List in a restricted view. We will cover this capability in more detail in the next release note.
Simplified use of Filter Forms
We have made some changes to the way that Filter Forms are configured. This section of the release note will show you how to Add Filters, Show and Hide search options and how to use Keywords when using filters for search.

The following Filter Form Lists are affected in the change:
- Job List;
- Position List;
- Requisition List;
- User List; and
- Shared Files.
Â
Filter configuration
Currently in eRecruit, Users configure Filter Forms in System Forms. In an effort to simplify the use of filters and improve usability, they will now be configured directly on Forms.
Â
Filter Forms are a Global Form, meaning that all Users will be able to use the filters that have been configured. As with current functionality, permissions will need to be assigned to Users to allow them to configure Filter Forms.
IMPORTANT NOTE: All Users who have assigned permissions will be able to add and remove ANY filters that are set, regardless of who set them. Filters are a system wide setting – Users with permission need to be careful about removing filters, as they may not be the only person using it.

Users with permissions to add filters can do so by clicking Show Search, then Add Filter on the next page.Â
Users will then be taken to another screen where they can search, select and Add Filter Questions.
Once the questions are selected, Users will need to click the ‘Add as filter questions’ button, on the bottom right of the screen.
 Â
When the filter questions have been added, Users will be able to select the values from within the questions to filter by.Â
IMPORTANT NOTE: The values that are selected in the filter are not maintained when Users log out of the system.
Â
At the moment, Users are only able to see the Filter By options when the Search option is clicked. This meant that Users were not able to tell immediately that filters were applied to the List. To reduce confusion, we have developed some changes which will allow Users to see whether a List has been filtered, and what it has been filtered by.Â
Â
When Users are viewing lists, a message will always display showing  Users that no filters are currently applied or show the filters that have been applied.
Â
The Filtered by options will display the Fields that the List will be filtered by (i.e Position Location), not the Value (i.e Vic).Â
In light of these changes, the following options have been removed from System Forms:
Â
- Job Filter Form;
- Requisition Filter Form;
- Shared Files Filter Form; and
- Position List Filter Form.
PLEASE NOTE: User Job Permission Filter Form has been renamed as User Job Permission Form, so that the name is consistent with the function of the form.
Impact on current Filters
The change from System Filter Forms to Filters being configured on Forms will not affect Forms that have already been configured. Users will not have to reconfigure their current Forms, but any new configuration required will have to be done on the Form itself.

Short Text versions of Global Questions
As Question text can be quite long, Filter forms will now display a Short Text version of the Global Question (if Short Text has been configured), this is configured when Users Manage Global Question.Â
If a Question does not have the Short Question Text configured, the Question Reference will be used. This may be confusing to Users if the Question Reference is not clear. We recommend our Users update their Questions that are used as filters to include data in the Short Question Text field.Â
Improved performance with Keyword Search
In each of the Lists below, there will always be a Keyword Search box. The table below outlines the Fields that are searched when Keywords are used.
PLEASE NOTE: Talent Search, Quick Candidate Search and Quick Job Search will not be affected by these changes.Â
Candidate List search and filter updates
We are excited to announce that work has been completed so our Users can filter and search the Candidate List. Being able to apply filters will greatly improve the ability to identify specific candidates within the Candidate List.Â

There are 3 things that are important for you to know:

- Keyword Search functionality within the Candidate List;
Â
- Who can use the Search and Filter function in the Candidate List and when it should be used; and
Â
- How to configure the Search and Filter function in the Candidate List.
Â
Keyword Search within the Candidate List
Similar to the Keyword Search changes in System Filter Forms, we have made Keyword Search available when using filters in the Candidate List.Â
The table below outlines the Fields that are searched when Keywords are used.
Who can use the Search and Filter function within the Candidate List?
All Users with access to the Candidate List will have the ability to configure a Candidate List Filter Form, as well as the ability to add up to 2 Global Questions to the Candidate List, excluding these types of questions:
- File Upload Questions;
- Group Questions;
- Multi select Questions; and
- Ordered Preference List.
The Search and Filter function in the Candidate List is best used to search for specific candidates from a large list of applicants.Â
PLEASE NOTE: Filter Forms are not available on the Task Candidate List.
How to configure and use the Search and Filter function in the Candidate List.
Within the Candidate List of a Job, Users will notice a new Show Search function at the top of the screen.Â
When the Show Search link is clicked, Users will be taken to a screen where they can Add Filter.Â
Users will then be able to select the Global Questions that they would like to filter the Candidate List by. The fields available for selection are from the Application Form for the Job.
PLEASE NOTE: All Users with access to the Candidate List can configure the filters. Filters set by Users in the Candidate List are User based, so changing the filters will not affect other Users. The Filter Form configuration will be maintained even when Users log out of the system.
Setting List Columns on the Candidate List
Once fields have been added to the Filter Form, Users will display 2 of the Filter fields as a column on the Candidate List.

Please see below for step by step instructions of how this is managed.
Â
On the Candidate List, click the Select List Columns button.
A pop up box will then display to Users, where Questions available for selection is visible. Once Users have picked their questions to display as columns, click the Submit button.Â
The columns that display will be as per configured by the User.
Links to ‘Complete Form’ and ‘Edit Form’ removed for withdrawn applicants
Currently in eRecruit, links to Complete and Edit Form are available to Users, even when a candidate has withdrawn their application. This meant if a User edited a withdrawn application, it could change the applicant’s status and make them available for assessment.
The removal of the Complete Form and Edit Form links is to ensure that Users are unable to change a withdrawn applicant’s status since they no longer wish to be considered for the Role.
Recent Actions to display last 10 actions
The order in which Recent Actions display has changed so that it is in descending order. This will allow Users to view the last 10 actions they performed in the system.

The actions that display in this list include:
Â
- Emails created by User;
- Vendors created by User;
- Requisition log entries against the User;
- Job log entries against the User; and
- Candidate Status log, where User is responsible.
Group Questions validation messages
The back end of the system has been updated to ensure the correct validation messages are displayed when Group Questions are being completed.
Â
Each cell will be validated against the Validation Type set by the User and error messages will display for each individual error identified based on the available Validation Types below:
Â
- Maximum characters allowed;
- All excluding HTML like tags;
- All excluding malicious HTML;
- Alpha Numeric;
- Alpha Number with basic punctuation; and
- Alpha only.
PLEASE NOTE: Only the first row of cells will be validated for mandatory Questions.Â
User interface changes for consistency
You might notice that the backend of the system looking cleaner and more consistent. We have made a couple of changes that will improve usability, these minor changes will not impact the functionality of your system.

One feature that is important to note, is legends in the backend of the system. Â
