This deployment

This deployment will occur on the evening of Tuesday 13th December 2011 and will include the following enhancements to your System:

 Introducing CAPTCHA and the restoration of ‘Email a Friend’ functionality:  In order to provide greater protection for our customers against unwanted activity by automated software, we have now introduced the use of CAPTCHA technology. We are pleased to announce that by using this technology we also see the return of our ‘Email a Friend’ functionality in the Candidate Portal.

The term CAPTCHA stands for Completely Automated Public Turing Test to Tell Computers and Humans Apart.

Bulk Email Batching: Allowing Users to successfully send emails to large volumes of candidates in one action and be able to track the processing of the email batch.

Merging Line Breaks into Merge Documents: Allowing Users to merge out the content of a paragraph into a merge document and have line breaks display as they were entered in the global question answer.

 Permission to Delete Job Card:  Providing controls around the ability for a User to delete a Job Card.

 WYSIWYG upgrade: Improving the way WYSIWYG functions when working with email templates, formatting and when pasting from Word.

 Late Application Candidates: Giving Users the ability to quickly identify which candidates with incomplete applications have been invited to submit a late application.

 Displaying Interviewer name within the Candidate Card Activity Log: Allowing Users to have visibility of the Interviewer associated to an Activity from within the Candidate Card Activity Log.


Exciting News 

We are delighted to announce the ability to now report on Group Questions.  Due to the complexity of this type of global question and the variance in the way these questions can be set up across different customer systems, this work needs to be assessed and quoted on a case by case basis.

Introducing CAPTCHA technology

Many Users will already be familiar with CAPTCHA technology through its use in other web based programs. In our December release we introduce this technology into several areas of the Candidate Portal.

 CAPTCHA technology will be switched on as standard for Email a Friend and Forgotten Password functions within the candidate portal.  When accessing these areas of the portal, CAPTCHA will display a string of text which candidates will be requested to enter before submitting their request.



Candidates will have the ability to refresh the text displayed by CAPTCHA.  By clicking on the refresh icon the System will generate a new string of text for the candidate to enter before proceeding.



Candidates may request a sound version by clicking on the audio symbol. 



The System will display 2 links; one to play the sound again; and the other to download the sound as an MP3.  The User can also revert back to text by clicking on the text symbol.



Online help is available to candidates by selecting the help icon.



The System will respond by opening up a CAPTCHA pop up with instructional text.



CAPTCHA can also be switched on for the Registration page of the Candidate Portal.


Please note that CAPTCHA will by default appear on the Email a Friend and Forgotten Password screens. To enable CAPTCHA on your Candidate Portal Registration screen please contact the NGA Support Team on 1800 642 638.


Bulk Email Batching

Following on from recent feedback regarding the ability to successfully communicate with large volumes of candidates or Users at once, we have enhanced the ‘New Email’ action by setting a threshold for processing.  When the number of recipients selected is greater than the threshold value, the email request will be split and processed in smaller batches. This means that customers can confidently select and email thousands of recipients at a time without the need to worry if the request will time out before sending all emails.

 By default, the batch threshold value will be set at 1000, and the batch split increment set at 500, meaning that any email requests for over 1000 recipients will be split and processed in batches of 500.

Sending emails to multiple recipients is available at various points throughout the System, for example, Candidate List, Talent Search, Task Candidate List, Job Vendor List. Simply select the candidates that you wish to communicate with and choose ‘New Email’ from the Actions drop down menu.



When an email request is over the threshold the System will alert the User that the request has been batched and queued for processing.



As with other bulk requests, the User will be able to track the processing of the request in the Messages Tab.  Each batch increment will appear as a separate item and will clearly show the current status of processing.



Should an email batch fail to process, it will be automatically added back into the queue again for processing.


Merging Line Breaks into Merge Documents

 This enhancement allows for line breaks to be retained when merging out content of a paragraph into a merge document, reducing the amount of formatting required on documents such as offer letters and contracts.


Permission to Delete Job Card

 To ensure that important information is not accidentally deleted from your System, we will be placing controls around Users having the ability to delete a Job Card.

 Access to delete a Job Card will now be controlled by a new ‘Delete Job Card’ Function Permission and only Users with this Permission enabled will see the Delete Job Card link.  A further enhancement has been made to the icon and colour of this link in order to reduce the likelihood of it being selected accidentally.



Following the deployment, the Delete Job Card Function Permission will be disabled for all customer Users and User groups.  Super Users with the ability to set Module and Function Permissions for Users and User groups will be able to enable the Delete Job Card function permission for their Users however it is recommended that this is kept to a minimum of experienced Users to ensure the integrity of your System.



WYSIWYG upgrade

 

Following the WYSIWYG upgrade, customers will see improvements in the ability to format text and to successfully cut and paste from Word into a WYSIWYG editor box particularly where bullet points are involved.  It is still however, important to remember to keep Word documents as simple as possible if intending to use them for pasting into a WYSIWYG editor.  Bullet points should be kept simple, font sizes should be kept the same and indenting should be avoided.

 Improvements have also been made to the spell check function within the WYSIWYG editor for email templates. If, by clicking on the spell check icon, words are identified as being incorrect, you may still proceed to successfully Save and Review the email without losing the email content.



Late Application Candidates

 For a variety of reasons, candidates are sometimes unable to submit an application to a job before the closing date and time.  The Invite Late Applications feature provides Users with the ability to allow candidates with an incomplete application to complete and submit their application within a set period of time.

 Candidates can be invited to complete a late application via the candidate list or the candidate card. By filtering the candidate list to show Incomplete Applications the User can easily identify candidates that have not yet submitted their application. By selecting Invite Late Application from the Action drop down, the User can invite applicants to submit a late application.



The System allows the User to set a time period for which the candidate(s) can complete and submit their application.



A User can easily identify which candidates have been invited to submit a late application by selecting the ‘Late Invitation Candidates’ menu item from the Candidate List on the Job Card.  The Candidate List displayed also shows the Expiry Date for the late application.



Displaying Interviewer name within the Candidate Card Activity Log

 Improvements have been made to the information displayed in the Candidate Card Activity Log.  If an interviewer has been assigned to an activity within the Activity Scheduler, Users will be able to view this information from the Candidate Card Activity Log once a candidate has been assigned to an activity.
