This deployment will occur on the evening of Tuesday 15th November between 6.00pm and 8.00pm (AEST). During this time, Users may experience downtime for up to 2 minutes. Whilst this downtime is minimal, we recommend that wherever possible, any large or critical system tasks be completed before close of business on the day of a deployment or commenced the day after. This deployment
This deployment will occur on the evening of Tuesday 15th November 2011 and will include the following enhancements to your system:
PDF Packaging within Talent Search: Enhancing the existing Talent Search functionality to allow Users to create an Active PDF package within the Talent Warehouse.
Restricted Job Card Access: A new Job Permission giving infrequent Users “read only” access to the Job Details card and limited access to candidates before their assigned Task within the Assessment process has commenced.
Improving the management of withdrawn/incomplete candidates within the Assessment Matrix: Ensuring Users are only able to rollback withdrawn or incomplete candidates once they have been reinstated into a Job; or have completed their application.
OneTest / Previsor Enhancements: Providing OneTest and Previsor customers greater flexibility on how they manage the selection of tests within either the Job Creation Wizard or at the Assessment Process Manager level.
Upcoming Release
We are currently working on a project which will include the restoration of the “Email a Friend” functionality. This project includes the adoption of CAPTCHA (Completely Automated Public Turing Test to Tell Computers and Humans Apart) technology. Candidates will be asked to verify their identity by translating a piece of distorted text that computers cannot.
We will have more details for you in the December release with an expected delivery of January 2012.
PDF Packaging within Talent Search
Users will be familiar with the ability to package from within Talent Search results via the Actions Menu.
In our November release we have extended this functionality to include Active PDF. The System will give the option to select either Standard or PDF Packaging once you have selected Package Applications from within the Action menu.
Don’t forget - Talent Search can be applied to either the Requisition or Job Creation workflow. This new functionality will be available in both processes.
The packaged information will then be available for download within the Messages Tab.
Restricted Job Card Access
Following on from recent feedback regarding usability for infrequent Users, we have created a new Job Permission. This allows infrequent Users (such as Line Managers) limited access to the Job and candidates before their assigned Task within the Assessment process,has begun.
The Restricted Job Card Access has the following permissions assigned to it:
- Access to view the Job Details form in Read only format
- Access to the Assessment Process Manager
- Access to the “Complete Assessment Form” and “Package Applications” candidate actions
- Access to the Candidate List
Users will be familiar with the ability to configure Job Permissions within the Job Details or at User and User Group level. We recommend when setting up this item you work within the Job Details Menu and select User Access Permissions.
The System will respond by displaying a list of Permissions currently allocated within the Job. The User should then select the Add User Job Permission icon.
A list will be displayed showing all Users. Select the check box alongside the relevant name to allocate Permission to the Job and click on the Add button.
The Job Permissions screen is then displayed including a new check box, to select Restricted Access. By selecting this check box in a Job context the User will be limited in their access for the specific job only.
After clicking Save, the User will be returned to the updated View Job Permissions Screen.
The Permissions screen will be updated to include the new Restricted Job Access within a new column. You are able to edit or remove this Permission at any time by selecting either the Edit or Delete button. By selecting Notify, you are able to advise your User of their new Permission via an Email.
Please note that Users can have access to a Job via multiple permission types. Where a User has a “Can Access All Jobs Permission” at either an individual User level or inherited from their User Group (as shown below) that Permission will take precedence over a Restricted Job View. We recommend reviewing your User permissions on a regular basis to ensure that the right people are allocated the correct User Group.
Once the new Restricted view has been applied, the User will have access via the Jobs Tab to the specific Job Card.
The Job Details form will be displayed in a “read-only” format:
By selecting the Candidate Assessment Matrix from the top menu the User will be navigated to the matrix that displays the steps in the Assessment process and the status of each candidate.
Finally, from within the Candidate Assessment Matrix the User will be able to access the Candidate List and have the ability to Action including “Complete Assessment Form” and “Package Applications”. Users will only be able to complete an Assessment Form if they have permission to complete the Step Task.

Improving the management of Withdrawn/Incomplete candidates within the Candidate List
To ensure Withdrawn or Incomplete candidates are not rolled back without being reinstated/completed we have improved the Rollback feature to ensure that it is not available for users working with these candidates within the Candidate List. For example, in the Candidate List below the Filter has been set to Withdrawn Applications.
Users will now see that within a Candidate List (which is filtered Withdrawn) the Rollback Action is unavailable from drop down Action menu.
Users who want to rollback Withdrawn candidates will need to reinstate them from within the Candidate Card. Candidates must complete their application to allow Users to rollback their candidate record.
OneTest / Previsor Enhancement
For customers who are integrated with either OneTest or Previsor psychometric assessment tools we are delighted to announce a new feature which allows Users to select the Test to be applied to the Assessment when creating the Job, making it easier to ensure that the right Test is applied to the right Role Type. We will be posting a User guide for this specific feature on Friday 11 November within the User Community.
