Job Status Notifications

Job status notification functionality allows a notification to be sent when a job status changes. This can be configured against the job template or on a specific job. 

The most common use of this functionality is for users to be notified once the job has closed on the candidate portal. Assessors or the Hiring Manager can then be notified to commence shortlisting.

There are two parts to setting up the job notification functionality:

  1. Configure the email template

  2. Configure the job notification rule

Job Notification Email Template

Follow the steps below to configure the job notification template:

  1. Click on the System Tab.

  2. Under Communication Manager select Email Templates.

  3. Select ‘Job Status Change’ from the Create New Email Template Type dropdown and click Go.

  4. Complete the required fields.

Template Name: When applying the email template to the notification the template name will be displayed. e.g. Job Closed Hiring Manager

Reply To: if the user replies to this email this is the email address that it will be sent to.

Email Subject: Subject of the email. You can insert a merge field by clicking on the magnifying glass icon.

Most common inserted merge field would be Job Reference and Job Name.

Email Display Template: Branding/ logo of your emails if this has been developed

Email Body: The body of the email notifying the user of the job status change. Click on Merge Fields on then editor box to add merge fields e.g. First Name, Job Name.

 

Job Status Notification Rule

Follow the steps below to configure the job status notification to a job template:

  1. Click on the System tab.

  2. Under ‘Job Manager’ click on Job Templates.

  3. Click Edit on the Job template that you wish to apply this configuration to.

  4. Hover over the Emails tab and select Job Status Notification.

  5. Click +Add New Notification at the top of the page.

  6. Select the Job Status that the email will be sent when triggered.

  7. Select the Trigger. This can be on entry or exit. Entry is when the job enters the job status selected above. Exit is when the job leaves the job status selected above.

    e.g. If the Panel Members shortlisting the applicants are to receive the job status notification then Entry will be select as the Trigger and the Job Status of Selection Process.
    The job will move through the following job statuses:

    Incomplete - Job is not active and is in the process of being set up.

    Pending Open Date – The job open date is a date in the future

    Job Open – Job is currently advertised on the candidate portal

    Selection Process – Job is not advertised, and candidates cannot apply. Candidates are undergoing the selection process.

    Job Archived – The job has been closed and no further candidate assessments can be made.

  8. Select the recipient. This can be:

    • General Users

    • Roles e.g. Panel Members

    • User Group

    • Users

  9. To finalise click Save.

 

You can go back to the Job status Notification page to make changes. Under ‘Actions’ tab, select ‘Edit’.
