Changes have been made to improve the overall usability of your eRecruit system, including:

  1. Multiple-step forms enhanced usability – This includes screen changes for users including:
  • A progress bar displaying on all requisition, assessment and Job Details forms;
  • A new Preview and Submit step on all requisition, assessment and Job Details forms; and
  • Candidate Portal progress bar is changing from a square design to a circle design.
  1. Task Candidate List enhancements – Users will be able to reassess candidates and view forms from the Task Candidate List; and
  2. Task List improvements – by removing ‘My Groups’ and ‘Users’ from the ‘Assigned to’ column, time taken to load the Task List will improve significantly.

Enhanced usability

We are excited to announce that the progress bar functionality used on the candidate portal, is now available in the back-end of eRecruit. This change means that:

  • A Back-end progress bar will be available in all multiple-step forms;
  • Multiple-steps will be available in the Job Details Form; and
  • Candidate portal User interface change.

 

Back-end progress bar

Users will be able to easily navigate between completed steps on multiple-step forms, preview and submit forms, as well as view summaries of completed forms.

 

What has changed?

A progress bar will display for all forms allowing Users to navigate between completed steps in any order, and preview and submit completed forms. 



Prior to submitting completed forms, Users will now be required to review the form.



One the form is submitted, the preview and submit step will change to a summary step, allowing Users access to view the completed form. Users will be able to edit the form by navigating to particular steps via the progress bar.

 

PLEASE NOTE: the progress bar will display for all multiple-step form types, regardless of the number of Form Steps.  I.e. Your requisition process has 5 steps, the progress bar will display 6 steps – this includes the Preview and Submit step. If your assessment process has 1 step, the progress bar will display 2 steps – 1 assessment step and 1 ‘Preview and Submit’ step.

 

How do I navigate to different Form Steps via the progress bar?

Users are only able to navigate between form steps if the prior steps are complete. This rule has been put in place to ensure changes are being made correctly when using dynamic questions, especially when they are configured across multiple form steps. 



Users are able to navigate between, and view form steps when the form is complete (i.e. if the process has rolled back to that step). The Preview and Submit step is only accessible when all other form steps are complete. If a User tries to access form steps or the Preview and Submit step, when prior steps are still incomplete, a warning message will display.

 

Additional validation messages have been put in place to prompt Users if a change has been made to a completed step that affects a dynamic question relationship (i.e. child questions on a later step).


 Multiple-steps available in the ‘Job Details Form’

The Job Details Form can now be configured to include multiple form steps, allowing the form to be split. By splitting the form into multiple steps, the time taken to load the Job Details Form will be reduced. 

 

Consistent with the Requisition and Assessment Forms, the Job Details form will always display the progress bar and summary page. When accessing the Job Card (i.e. from the Jobs List), the first step of the Job Details form will always display in edit mode. 



To update the details on the form, Users need to click Save and Continue on the bottom of the page. If the form contains multiple steps, the progress bar will allow Users to easily navigate between, view and/or edit steps.

The summary page will allow show all the Job Details Form steps on one page.

The Job Details Form is a single instance form within this system, when a change is made on the template, the change automatically appears on Job Cards. It also means that, if a question is removed from the template, that data is lost from ALL jobs.

When changing the Job Details to multiple steps, please be aware that the first step of the Job Details Form (Job Ad Details) will always contain the following Global Questions:


  1. Job Reference
  2. Job Title
  3. Job Highlight 1
  4. Job Highlight 2
  5. Job Highlight 3
  6. Job Overview
  7. Job Keywords


Candidate portal progress bar User interface change

When candidates are completing an application form on the candidate portal, a progress bar identifies the step of the application they’re completing. 


A User interface change has been made, so that it is consistent with the back-end progress bar, the functionality will not be changing.


Task Candidate List improvements

In September, the Task Candidate List was introduced to allow Panel Members to view and assess candidates as required. Since the introduction of this feature, we have received feedback from our customers that further enhancements can be made to improve usability. As a result, changes have been made to the Task Candidate List.

 

Ability to reassess a candidate from the Task Candidate List

Users will now be able to reassess candidates from the Task Candidate List, as per current eRecruit rules. From the Task Candidate List, a Reassess link will be visible as well as a View Form link.

Improved accessibility to the Task Candidate List

The Task Candidate List is currently only available in the Task List, when the task status is ‘Not Started’ or ‘In Progress’. Users will now be able to access the Task Candidate List from this screen, no matter what the task status is.  To access completed tasks, the status filter can be changed to All or Completed.



Task List improvements

To improve performance and the time taken to load the Task List, the Assigned To dropdown box options have been reduced. My Group and Users will be removed from this list and will now only contain: Available to Me; All; and User Groups.

This enhancement will also improve the usability of the Task List, Users will not need to scroll through the entire list to search for particular Users.
