This week’s release includes many changes to the eRecruit system including:

- Delete Form Step Data via process rules;
- Scheduled emails; and
- Usability enhancements.

Note: Â Manage Role User list order; in the last deployment a change was made to the way Roles were ordered which was incorrect, this has now been corrected and Roles are ordered alphabetically.

Delete Form Step Data via process rules
Feedback from customers led us at NGA.NET to reconsider how data moves back and forth within Requisition and Assessment processes. Currently when an Assessment or Requisition process is rolled back, data in the process steps remain the same. For fields set to pre-populate, all updates performed after the rollback will not automatically flow along the process again.

Users will now have the ability to delete data from specific Form Steps, based on entry or exit rules within a process. This ability can be used to ensure pre-populating fields have old data deleted so that the latest value for that field is automatically pre-populated into it again. This feature will be available in both Requisition and Assessment Processes.

NOTE:Â Form Steps within forms, similar to Application Form Steps, allow Users to delete selected data rather than the entire form.
I.e. If you have an approval form, and there is the option to rollback to step 1, actions can be configured to clear the data on the approval form so that updates will re pre-populate. If that form contains data that needs to be retained, put this on step 2 of the form, so the action will only delete step 1 and not the data in step 2.

When an action to delete data occurs, a snapshot of the form is taken before data is deleted and available in the data deletion log, viewable by Super Users in the Job Card and Requisition Details.
HOW TO CREATE ACTIONS TO DELETE FORM STEPS?
Step 1:
- Within the rule configuration screen, select ‘Add Action’.
A new 'Delete Form Data' Action Type appears
Step 2:
Select the 'Delete Form Data' Action, current step appears which is read-only and Select Process step drop down appears showing steps with the process.
Step 3:Â Â Â
- Select the required Process Step and Form Step, then click save for action to be added.
NOTE: Each Action can only delete data for a single form step, however you can create multiple 'Delete Form Data' Actions in the same rule.

Scheduled emails
We’ve now developed the ability for automated emails to be sent to Users within Roles when a Job Status changes to Job Open or Selection Process. This is a system wide setting, meaning that emails can be configured so that they are different for each role, but cannot be configured to be different for each Job.
 This new feature will need to be set-up initially by our Support Team, and then Users will be able to configure Email Templates.Â

Usability enhancements
Answer Display Format change
User interface changes have been made to the way multi-select Global Questions are created, to improve usability of the system by making it consistent. The option ‘Dropdown’ has been replaced with ‘Select’ consistently across the system – in the past, this was occurring in some areas of the system and not others.
Answer Configuration change
Another enhancement has been made to the creation of multi-select Global Questions, a ‘Display and Value’ option is available for the Answer Configuration, which is consistent with multiple choice questions.
‘Display and Value’ is primarily used for integrations when answers need to be displayed for Users completing the form and when a value is used to map to HRIS such as codes and so forth. When ‘Display and Value’ is selected, both answer and value will need to be entered in answer options.
