This week’s release includes many changes to the eRecruit system including: 

  • Dynamic Prompt option when configuring multiple choice questions
  • Additional Submit button on the application summary
  • Delete applications from Jobs
  • Sending bulk email to Users
  • Reinstate withdrawn applications
  • Allow 30 minute increments for late applications
  • Pop up windows maximise and restore options
  • Consistent Active and Inactive icons
  • Seek integration update
  • Increased protection of candidate login details

Dynamic Prompt

To improve system speed and performance, especially for Users with slow internet connections and complicated forms, we have a new answer display format available for ‘Multiple Choice’ questions called ‘Dynamic Prompt’.  

 ‘Dynamic Prompt’ allows Users to be able to start typing and matched answers will display, this new interface behaviour is consistent with highly usable websites such as Google and YouTube. Internet users will be familiar how this new feature works.  Dynamic Prompt can be used when creating or editing Global Question and will not affect data collection and it is purely a User interface change.



By using this capability, the need for your system to load all available answer is removed allowing the loading and processing of forms to be quicker and more efficient.  ‘Dynamic Prompt’ is best used for questions where answer options exceed 20 or there are a large number of multiple choice questions on the form.

 

Users will have the option of selecting ‘Dynamic Prompt’ as an answer display format. 



When a ‘Dynamic Prompt’ question appears on a form, Users will be instructed to ‘Type to see options’.



As well as improving performance, it assists Users in making selections from long lists of answers by providing searching and pagination functionality. When Users start typing, a list of matches for selection will appear as well as an option to ‘Show All’. 



When ‘Show All’ is selected, all answers available to that question will be visible. An option revert back to ‘Show Matches’ is now visible, when selected only answers that match the text typed will display.



All and Matched answers are paginated in groups of 10, an arrow appears when the available answers exceed 10 so Users can navigate to the next page of available answers. 



PLEASE NOTE: When editing existing Global Questions to allow ‘Dynamic Prompt’ answer display format, forms that contain the Global Question will not be updated. The Global Question needs to be updated from the form.


IMPORTANT NOTE:

Dynamic Questions via answer options i.e. your child question is always displayed but the available answers displayed depend on the selection made in the parent question.

 

Both sets of questions (Parent and Child) must have the answer display format ‘Dynamic Prompt’ selected.  When you change a parent or child questions’ answer display format to ‘Dynamic Prompt’, you will given the option to set the display format to ‘Dynamic Prompt’ for all linked questions.



Dynamic Questions via questions i.e. child questions displays only when the appropriate parent answer is selected. Questions do not have to be consistently using ‘Dynamic Prompt’, it can be a mixture of answer display formats.

 We expect most customers would like to use this new display format shortly after our Thursday 28th October deployment, and we are ready to support bulk changes to a customer’s Global Question pool and forms.

Additional submit button on the application summary

In the past, candidates have viewed their application summary and forgotten to scroll back to the top to submit their application.

 In an effort to cause less confusion and improve usability for candidates, a second submit button has been added to the bottom of the application summary. The submit button at the top of the application summary will remain.



Candidates will be able to submit applications at the bottom of the page after they have viewed their application summary without the need to go back to the top to submit. The additional button should improve the ratio of candidates submitting their applications.


Delete applications from Jobs

Customers have been telling us that the ability to delete test applications from Jobs would be beneficial. Users with permissions configured will now be able to do so.

 

PLEASE NOTE: When a candidate is deleted, all related data will also be deleted permanently. This new function should be used with care. 

 

Permission to delete applications is configured in ‘Function Permissions’ when managing a User/User Group. 



Under Job Manager, tick the box to allow User to ‘Delete Applications’ then save (This will be ticked automatically for Super Users)



Users will also need to edit ‘User Defined View’, tick the ‘Delete Application Link’ and save to allow the link to be visible to Users who have ‘Function Permissions’ set.



PLEASE NOTE: The candidate card ‘User Defined Views’ option to ‘Delete Application Link’ is ticked by default for Super Users, therefore to enable the link to ‘Delete Application’ to be visible on the candidate card, only ‘Function Permissions’ need to be configured.

 

For all other Users, both ‘Function Permissions’ and ‘User Defined Views’ will have to be configured to allow the ‘Delete Application’ link to be visible on the candidate card.

 

 The ‘Delete Application’ link will be visible on the candidate card to Users who have permissions set.



When ‘Delete Application’ is clicked, Users will be taken to a warning page where they can continue to delete, or cancel.



A ‘Data Deletion log’ will be available to Users that have permission set to view this. This is set up when managing a User/User Group in ‘Function Permissions’. Under Job Manager, tick the box to allow User to ‘View Data Deletion Log’ then save.



A ‘Data Deletion Log’ will be available to Users in the Job Details section of the Job Card.



Sending Bulk email to Users

We’ve had many requests from customers who want to be able to communicate with Users in bulk. As a result a new feature has been added to the system allowing this. 

 A new option is available in the Communication Manager to allow ‘Bulk User Email’ to be sent.



The User sending the email will have to select Users they wish to email, select ‘New Email’ in the Actions box and click Go. 



As with candidate emails, Users will then be able to create and preview prior to sending, as well as selecting email templates to use.

 

 An ‘Ad Hoc User’ email template is available in the system ready to be used. New templates can be created via ‘Email Templates’ in the Communication Manager. 



Users will be able to view their email log via the User Manager ‘Email Log’.




Reinstate withdrawn applications

When this feature is turned on, a link to ‘Request reinstatement of withdrawn application’ will be visible to candidates in the ‘My Job Applications’ section of the candidate portal, if they have an Application Status of ‘Withdrawn’. This feature enables candidates to easily request to have their application made available for consideration.



When a candidate clicks the ‘Request reinstatement of withdrawn application’ link, their ‘Application Status’ will change to ‘Reinstatement Requested’ and the link to request reinstatement will no longer be visible. An email will be sent to the Job Owner to notify them of the request and the candidate to confirm the request has been made.



Once the Job owner reinstates an application via the candidate card, the Application Status on the candidate portal will change to ‘Submitted’. An email will be sent to the candidate to advise them that their request has been granted. 




There are 3 new email templates available that will go out to the candidate and Job Owner when this feature is used.

 

  • Candidate Application Reinstatement Request - sent to the candidate once the 'Request reinstatement of withdrawn application' link is clicked.

 

  • Application Reinstatement Request - sent to the Job Owner once a candidate has requested for their application to be reinstated.

 

  • Candidate Application Reinstated - sent to the candidate once an application is reinstated. Candidate ‘Application Status’ will remain the same as if they never withdrew their application. I.e. If a candidate’s application status was complete before they withdrew their application, their status will still be complete when they are reinstated. If a candidate’s application was incomplete before they withdrew their application, the application will need to be completed before submitting.

Allow 30 minute increments for late applications

Users currently have the option of specifying a time period to allow late applications to be submitted. At the moment only days can be set. A number of customers have indicated that they would like the option of being able to specify late application acceptance period in 30 minute increments.

 

Usability for both Users and candidates is improved, as the 30 minute increment is now consistent with the options available for open and close times when an audience type is configured. 



Pop-up windows

A new enhancement that has been made to the pop-up windows in eRecruit as a result of feedback received from customers and Users.  All pop-up windows will now have a ‘Maximize’ and ‘Restore’ option, improving the usability of your system.



Consistent Active and Inactive icons

The icons used to indicate Active or Inactive status of templates has been improved.

 The Active icon will be changed from the current green circle to a green tick and the Inactive icon will change from the current red circle to a brown dash.

  As a result of these changes, accessibility has improved for Users with difficulties differentiating colours.



Seek integration update

Our integration partner Seek has made some improvements, which have been made in eRecruit, including:

 

  •  2 Classification label changes,
  •  3 Sub-Classification label changes,
  •  1 Location label change,
  •  2 new Sub-Classifications and
  •  1 new Location


Increased protection of candidate login details

When sending packaged applications to other Users, a User interface change has been made to remove the option of being able to ‘Include Applicant Login Details in this Email’. This is to protect candidate login details from being provided incorrectly.
